The general responsibilities for Administrative Assistant will include providing general administrative support to the R&D Site and Facilities Management by performing varied and both routine and complex administrative support in the areas of Hospitality, Purchasing & Accounts Payable, and Vendor Management.

TYPICAL DUTIES: The following statements describe general duties and should not be construed as an exhaustive list of all responsibilities.

  • Administrative
    • Phone List
    • Mail Boxes
    • Mail List for Malvern
    • Purchases the office supplies for the site and manage the inventory
    • Responsible for the operation/maintenance of the Postal Meter equipment
    • Collect timesheets from hourly personnel for delivery to Corporate Office Malvern for Payroll.
    • Receive mail from Shipper - sort and place in mail slots
    • Organize daily outgoing mail
    • Update R&D Lists
    • Answer company calls, forward to appropriate person or take message.
    • Answer intercom
  • Assist with all arrivals of guest that come to front office
  • Hospitality
    • Work with Maintenance to ensure proper conference room configurations
    • Order meals, beverages and/or snacks as requested for meetings.
    • Oversee setup and breakdown as well as clean-up of meetings
    • Partner with on Site IT to provide required support
    • Works with Maintenance to ensure proper setups/configurations
    • Orders meals, beverages and/or snacks as requested for events
    • Oversees setup and breakdown as well as clean-up of events
    • Partner with on Site IT to provide required support
    • Oversee the conference room bookings
    • Organize Events - major luncheons
  • Vendor Management
    • AVM - Coffee Service
    • Restaurant Vendors
    • Snack & Soda Machine Vendors
    • Primary contact for Hospitality Vendors
  • Purchasing & Accounts Payable
    • Work closely with Corporate AP - processing payment & resolving payment issues
    • Liaison for all Vendors paid by Facilities Manager's Corporate Purchasing Card.
    • Monthly credit card accrual for self and Facilities Manager
  • Product Sample Coordinator
    • Work with ICD Team on sample orders
    • Direct contact with Key Customers
    • Invoicing for sample orders
  • Other Duties
    • Participates in plant-wide HSE, quality, and productivity initiatives.
    • Participates in HSE activities
    • Attend site-wide Safety training



Requirements:

  • 1 year experience working in an administrative position.
  • Ability to follow written and verbal instruction.
  • Ability to demonstrate good computer skills
    • Microsoft systems - Word, Excel, Power Point.
    • Knowledge of SAP a plus.
  • Able to troubleshoot or diagnosis situations, events or equipment.
  • Possess good interpersonal skills, works well within a team environment.
  • Possess good decision making skills (makes decisions, acts upon them, willing to defend decisions over peer pressure).
  • Must demonstrate a strong work ethic (attendance, attitude, on time, etc.).
