Executive Assistant


Our client is a generations-long fine wine and spirits distributor located in North Haven, Connecticut. Since its inception, they have acted as both importer and distributor of fine wines within the State of Connecticut and has recently expanded the import side of the business into other markets throughout the United States. The highly selective and well-diversified wine portfolio represents an array of outstanding producers from around the world. Their portfolio has received exceptional critical acclaim from the Country's most important wine publications. They value strong business relationships with their producers and are fortunate to act as the Country's sole importer for many of these Estates. As a company, their goal is to deliver ever-increasing sales and marketing results for suppliers; unsurpassed quality, value, and selection for customers; and the strongest commitment to service and professionalism in the marketplace today.Due to increased growth, even through the pandemic, the President, CEO, and CFO are seeking a 'right hand' Executive Assistant to complete the following tasks:


  • Provide general administrative and clerical support to the President and CEO

  • Booking corporate travel

  • Preparing and submitting monthly expense reports

  • Collecting and distributing weekly, monthly and quarterly reports

  • Planning and arranging meetings, conferences, and company hospitality events

  • Handling ad hoc administrative projects as requested

  • Arranging business and personal travel

  • Keep calendar and scheduling

  • Accurately and proactively maintaining the President's calendar for personal and business obligations

  • Maintaining detailed records and files

  • Opening and reviewing written and electronic mail

  • Acting as liaison for the President whenever the opportunity arises and it is appropriate to do so

  • Arranging lunches, food deliveries, and catering for executive, meetings, and events

  • Reviewing company practices to help ensure that the company is as environmentally friendly as possible

  • Assisting in planning company events and celebrations and organizing team training and team-building events


  • Excellent Microsoft Office skills, including Outlook, Word, PowerPoint, and Excel; knowledge of Concur preferred

  • Minimum of 5 years' experience as an administrative assistant working directly with senior

  • Bachelor's degree is preferred

  • Excellent written and verbal communication skills
