Contract Coordinator

The Contract Coordinator reports to the President of Hospital Operations or his designee. The duties for the Contract Coordinator includes, but is not limited to collecting and distributing basic agreements or ‘contracts’ from the author, and circulating until the agreement has been signed and accepted.  The process includes oversight to confirm all contracts are current and to manage expiration dates, or changes in contract participants, rates, addresses details contained inside of the agreement.   The Coordinator will keep the database current by maintaining draft and working copies in the system for accessible to management. The Coordinator will train management for accessibility into the data base.

 

Major Responsibilities:



Database Maintenance

  • Maintain database for ease of access to contracts
  • Accommodate requests from departments
  • Assist management to create draft formats from templates
  • Work with management to prioritize response to simulations requests


Process of Coordination

  • Receive and collect contracts via email (pdf /word), or in person - paper
  • In person, convert paper doc to pdf via scan and name and date file
  • Confirm ‘final’ version with signatures assign name and date
  • Paperless goals with confirmation of back-up by sending the file to manager
  • Create and manage tracking for expiration / renewal of dates, notify CEO


Types of Contracts, MOU’s, Notes

  • Medical Director, Physician, On-Call, Licenses, Admin or business related
  • Managed Care, Consultant, Hospital Services, Vendors, Leases
  • Professional, Staffing, Credentialing, Patient Care, Transfer Agreement
  • Any other note, MOU, draft for the potential of a new contract

 

  • Build, develop and maintain data base for ease of accessibility of management
  • Make recommendations for improvement of the process
  • Assist in Deanco affiliate assignments, including ‘bundle’ projects and others to be identified
  • Stay up to date on techniques for Microsoft Office and all software programs including Adobe, etc.


Support to the CEO, President of Hospital Operations, Executive Committee



Attend annual and or bi-annual offsite continuing education conferences, and in-house webinars offered by Vendors. Report updates and facilitate the implementation with authorization of management. Obtain pre-authorization for travel. Following IRS perdiem and mileage rates



Work closely with the IT Department for update in technology, obtain training

Must be dependable and report to work as assigned.

On an ongoing basis, identify and make recommendations for potential improvements

 

 

 

 

Requirements:



Minimum Education, Licensure, Certifications:



High School Diploma required, Associate Arts, Bachelor preferred



 



Minimum Skills / Experience:



At least three years Hospital Experience preferred with:

•         Strong Background in the Administrative process

•         Self-Starter, seek out and obtain missing pieces of puzzle

•         Ability to work independently with general direction



Computer Skills:



Microsoft Word (Intermediate)



Microsoft Excel (Intermediate)



Ability to learn new computer applications for accounting functions



Ability to work independently with minimal supervision
