Our client, a public research university in the Twin Cities of Minneapolis and Saint Paul, Minnesota, has an excellent opportunity for an Administrative Assistant (specializing in benefits) to join their team!

Principal Office & Administrative Specialist – Benefit Open Enrollment

The Employee Benefit Open Enrollment is October 30, 2020-November 30, 2020 and the call and email volume spikes significantly during the time period of September through December.  We are looking for a Principal Office / Administrative Specialist to assist with Benefit Open Enrollment  Responsibilities include:
u25cf        Understand the Client’s medical and dental plans for employees and retirees
u25cf        Communicate to employees and retirees via email and phone calls the process and benefit plans.
u25cf        Ensure all Open Enrollment paperwork is completed and sent on to be processed.
Required Qualifications:
u25cf        BA/BS in Human Resources/Benefits, Health, Retirement, Counseling, or a related field; or a combination of education and relevant professional experience to total at least 4 years.
u25cf        Experience using Microsoft tools like Word and Excel, Google documents, and HRMS systems.
u25cf        Strong commitment to and experience in providing professional customer service to clients.
u25cf        Excellent communication skills, written and oral.
Preferred Qualifications:
u25cf        Preference given to candidates with experience providing customer service in a call center environment.
u25cf        Demonstrated knowledge of health and welfare benefit plans and Open Enrollment elections.
u25cf        Experience resolving complex health claim or benefit issues desired.
u25cf        Ability to work independently and in a team environment.
u25cf        Experience with PeopleSoft Benefit Program and Customer Relationship Management (CRM) software.
u25cf        Knowledgeable on the following HR topics: payroll administration, employment verification, I-9 compliance, applicant process, paycheck deductions, direct deposit, timecard entry, employee classes, and absence management processes, etc.
u25cf        Excellent analytical and problem-solving abilities.
u25cf        Experience with or ability to work with individuals of diverse backgrounds and cultures.
u25cf        Knowledge of HIPAA compliance.
About the Job:
65% Contact Center Functions:
u25cf        Provide client support via telephone, email, and in person.
u25cf        Provide consultation and assistance to current and former employees with payroll, recruiting solutions, retirement, health, welfare benefits, and other areas defined by leadership.
u25cf        Answer questions regarding eligibility, coverage options, enrollment, and plan provisions.
u25cf        Work with appropriate employee benefits division and/or vendors to resolve problems.
u25cf        Maintain current knowledge of mandatory and voluntary retirement programs, as well as investment options and catch-up provisions. Calculate and educate participants on contribution limits to 403(b) and 457 voluntary retirement programs.
u25cf        Assist employees with transitions to Medicare health plan options, life event / status changes, severance programs and policies, and direct billing process for employees on leaves of absence.
u25cf        Utilize a Customer Relationship Management tool for case management.
u25cf        Meet all service levels as set by leadership
u25cf        Utilize knowledge documentation to answer questions consistently and quickly
30% Department Support:
u25cf        Provide support at the Foreign National Support Desk by processing I-9 appointments and I-9 paperwork via I-9 Express.
u25cf        Provide support at the Foreign National Support Desk by processing tax treaty appointments.
u25cf        Provide guidance and consultation to departments and outside agencies on matters relating to University benefit programs, HR processes, data and systems.
u25cf        Able to recommend and implement process improvement opportunities
u25cf        Able to discuss benefit policies and guidelines with department personnel to ensure correct benefit enrollment, eligibility, and deductions.
u25cf        Able to assist with peer training.
5% Special Projects:
u25cf        Serve on committees and work groups, manage special projects, and perform other duties as assigned.
u25cf        Provide support for New Employee Welcome and present enrollment workshops on a rotating basis.

u25cf        Provide support and Employee Benefits Health Fairs during Open Enrollment period.
