One of our clients located in Santa Rosa is in need of an Administrative Assistant to join their team on a temp to hire basis. If you have extensive office experience, and you are looking to take the next step in your career, this is the position for you! Duties: Answer 6-line telephone with voice mail capabilities; take messages Process mail open and distribute. Log all incoming checks into form; Print all AR reports for each check; Maintain the Daily Maintenance Log. Log all HVAC contractors on the roof access log. Process paperwork from out box as designated Weekly: Process all Purchase Orders and Invoices for approval by Melissa. Make sure amounts on invoices correlate with the purchase orders. Once approved, copies are made for the Management Office files. Order Janitorial Supplies from Fishman Supply. Make a list of office supplies with Office Depot item #s for Melissa. Once completed give list to Melissa for ordering. Monthly: Process all incoming sales reports. Give all sales reports to Management as they come in. Once completed and balanced give them to Florinda to book percentage rent. Make sure Maintenance personnel do the Slave Meter Report, Compactor Report, and Roof Report by the 5th of each month. The original Slave Meter Report is given to Florinda. The Compactor Report and Roof Report are given to Mike for review. Review the Tenants and Contractors Certificate of Insurance sending letters to any merchant/contractors whose insurance may lapse within the next month. Follow-up with telephone calls as needed. Quarterly: Quarterly fire sprinkler inspections Riser Rooms (done by Maintenance) Employee parking/contact/maintenance lists need to be sent to all tenants every quarter. Make sure Superior is doing the quarterly compacter servicing. Bi-Annual Restaurant inspections need to be done. Send out memo weeks prior to doing inspections. Give binder to Management. As Needed: Process all requests for Gift Certificates. Process all requests for Use Permits. Accept all shipments for Janitorial and Office supplies checking each shipment to ensure it is correct. Prepare memorandums and correspondence as directed Maintain the Key Cabinet list; oversee check out and return of keys. Prepare Hold Harmless agreements as required. Process and distribute sales reports as they come in. Roof leaks When tenants call into the Management Office to report a roof leak the following must be done: (a) List leak on the Roof Leak Report Form; (b) Write information on Maintenance Log; (c) Report the Roof Leak to Maintenance (via Maintenance Radio). Maintain the MSDS (Material Safety Data Sheet) binders. Tenant Fix-It Letters. Prepare letters to send to tenants involving any issues arising from maintenance or security inspections of problems that are tenants responsibilities to repair. Obtain Certificates of Insurance for new Tenants.
