Job Description


Engineering Coordinator – 12 Month Maternity Leave

The Engineering Department is made up of skilled tradespeople with a vast knowledge base gained from experience and education. Each person’s unique perspective on how to tackle and solve problems is vital to the success of our team.

As Engineering Coordinator, you will serve as the liaison with other operating departments. You are a multi-tasker and are able to work independently, performing a wide range of complex and confidential administrative duties to support your team. You communicate well with all contacts, anticipate and resolve issues, and update your team on various projects.

What you will be doing:

  • Consistently offer friendly, professional, and proactive service to all colleagues and guests.
  • Coordinate the Royal Service Manager dashboard to ensure tickets are dispatched and closed daily.
  • Assist in prioritization and assignment of tasks to the engineers and technicians.
  • Assist in the monitoring, maintaining and ordering of inventory and supplies.
  • Day-to-day secretarial work including: typing, filing, faxes, telephone, setting appointments, distributing documents & communication, etc.
  • Serve as a principal source of information for the Engineering team.
  • Ensure the distribution and follow-up of documents, letters, faxes, memos, information, invoices, month-end payments & computation etc. on a timely basis.
  • Complete Payroll on a daily and bi-weekly basis ensuring payroll is accurate and up to date for all team members in the Engineering Department.
  • Utilize Opera (Property Manager System) to coordinate with Rooms Team and complete preventative maintenance by changing rooms from ‘clean’ to ‘hold’ and unblocking the room when not in use.
  • Participate in Hotel Committees such as Planet 21 Sustainability, Health & Safety.
  • Accompany Engineering Management team to meetings and site tours as required to record minutes.
  • Assist in preparation of all department’s records, reports, requests for expenditures, equipment operation log sheets, etc.
  • Ensure that all equipment 3rd party certificates are valid and renewed prior to expiry, sampling and readings are current and timely.
  • Create and track access key and card requests for all colleagues and contractors on property and maintain up to date tracking and renewal systems.
  • Perform all other duties and special projects as assigned by the Engineering leaders.

Qualifications


Your experience and skills include:

  • Service-focused personality is essential; experience in administration is preferred.
  • Strong computer and Microsoft Office skills required.
  • Highly organized with keen attention to detail.
  • Excellent interpersonal and communication skills.
  • Ability to prioritize work in an environment with multiple interests.
  • Ability to handle complex and confidential information with discretion.
  • Ability to effectively understand the varying business levels and implement decisions with a high level of attention to detail.
  • Completely fluent in English language skills; both written and verbal.
  • Demonstrated team player with proven success in relationship building.
  • Demonstrated a high level of responsibility and commitment.
  • Demonstrated knowledge of safe working procedures.
  • Successful candidates must be legally eligible to work in Canada. The Hotel is unable to assist candidates in obtaining Canadian work authorization.

Physical Aspects of Position (include but are not limited to):

  • Constant standing and walking throughout shift.
  • Sitting for extended periods.
  • Frequent lifting/pushing/pulling of up to 50lbs.
  • Reaching, squatting, bending.
