Heights Building is a rapidly growing Birmingham, AL-based construction company that specializes in value-add renovations of large-scale multi-family properties nationally. Heights believes the goal of a market-rate renovation is to improve the built environment (as affordably as possible), so that a property can compete with new construction rent rates. Heights Building partners primarily with developers as they acquire new multi-family properties. They import factory-direct building materials such as stone, millwork, and fixtures/hardware.

POSITION OBJECTIVE

As the Administrative Assistant & Office Manager, you will report to the CEO. You will support the CEO by assisting with Business Development efforts and personal assistant responsibilities as needed. In addition, you will provide oversight for Human Resources responsibilities and Office Management, and other projects/assistance for the team.


To be successful in this role, you are computer savvy. You are able to efficiently implement and maintain well-defined systems and processes. You have the ability to take charge of all administrative and operational tasks for the company. You enjoy having fun with the team while also driving results.

POSITION KEY RESPONSIBILITIES

Support the CEO

  • Handle responsibilities as it relates to supporting the CEO
  • Take ownership over executive projects as needed
  • Manage the CEO’s travel schedule (flights, hotel, etc.)

Business Development Support

  • Manage the travel/site-walk schedule
  • Manage the CRM by keeping all information on clients up to date and accurate
  • Drive communication with the clients to ensure deadlines are met and effective communication is maintained
  • Create a culture of service and deep care for clients

Human Resource Responsibilities

  • Serve as administrator over the company insurance plan
  • Manage the fleet vehicles (maintenance, insurance and registration)
  • Lead employee on-boarding
  • Assist with recruiting efforts

Projects & Other Responsibilities

  • Follow-up on outstanding items until projects are completed correctly and on-time
  • Oversee COI’s
  • Plan and execute internal events for staff
  • Lead internal communications
  • Manage social media sites
  • Manage the supplies needs around the office
  • Assists Pre-Construction and Project Managers with projects as needed


SKILLS & EXPERIENCE NEEDED

  • 3-5+ years of administrative, office management or business development support experience, required
  • Bachelor’s Degree in Business or similar, preferred
  • Strong attention to detail, highly organized and orderly, and fun while maintaining professionalism
  • Self-driven mindset with the ability to take ownership of and follow-through on all responsibilities
  • Ability to create a positive work environment and foster a healthy work culture
  • Effective communicator over the phone, by email, and with a variety of constituents
  • Confident in making decisions on behalf of the company
  • Experience using Customer Relationship Management software, highly preferred
  • Technologically savvy, required
  • Ability to build rapport and relationships with internal employees, partners or clients
  • Servant-leader mindset with a willingness and desire to see the Heights team be successful
