Position Summary Information
Provides clerical, administrative and event support to Director of Campus Operations (DCO) and the Executive Assistant to the Provost Office (PO). The position demands professionalism, tact, skill, and judgment in dealing with faculty, staff, students, and members of the community.
Duties and Responsibilities
The position provides support to the Director of Campus Operations (DCO) and the Executive Assistant to the Provost Office (PO). Assists with purchasing, tracking, and receiving of goods and services through Virginia’s procurement system (eVA), for the DCO and PO, as well as various other departments. Assists the DCO with maintaining a record of the campus budget and related accounts. Assists the DCO and PO with preparing budget analysis and resolving budget discrepancies when necessary. Maintains written and verbal communication with faculty, staff, vendors, and external stakeholders. Performs administrative duties which involve confidentiality, accountability, and responsibility.
Associate’s Degree in business or related field. Several years of bookkeeping and/or administrative assistant experience. OR Combination of education, training, and experience.
Previous experience with People Soft and eVA; Previous experience in higher education environment. Extensive administrative assistance experience.
Required Knowledge, Skills, and Abilities
Excellent communication (written/verbal), organizational, and interpersonal skills. Knowledge of computer operations including Microsoft Office Suit. Can handle multiple assignments at once, time management skills, professional demeanor. Two or more years’ experience as an administrative assistant. Two or more years in accounting or bookkeeping. Ability to work both collaboratively and independently. Exceptional interpersonal skills for greeting students, faculty, staff, and visitors to the Office of the Provost. Ability to make proper telephone referrals.Knowledge of contemporary office practices. Excellent communication, organizational, and interpersonal skills. Customer service oriented and a pleasant, welcoming manner are essential. Ability to work both collaboratively and independently. Excellent time and project management skills. Extensive computer skills in Word, Excel, and Microsoft Outlook.
