Overview

Our Client, an independent, co-educational private school in Greenwich, is seeking a new Chief Financial Officer to oversee their finance and accounting team.  Must be comfortable with accounting, controlling, financial analysis, contract negotiations, verbal and written communication, management of business office personnel, project planning and management, basic understanding of mechanical, structural and electrical engineering, familiarity with tax rules applicable to tax-­‐exempt organizations.

Essential Duties

The CFO is accountable to the Head of School and to the Board for the administrative leadership of the non-­‐instructional financial side of the School's operation and for the efficient and effective management of the financial resources of the School and the School's facilities.

The primary responsibilities of the CFO are: 

  • Exemplary financial planning and financial management.
  • Accounting and reporting of income, expense, assets and liabilities, and contributed and invested funds of the School.
  • Managing all activities designated as Business Office responsibilities including financial controls, physical plant and grounds, risk management and insurance, transportation, employee compensation and personnel policies, accounting, business and operational policies, and compliance with local, state and federal law, regulations and requirements.
  • The implementation of policies and procedures applicable to Administration staff inclusive of the Appraisal and Professional Growth Process for direct reports.

FINANCIAL PLANNING AND CONTROL

  • Keeping the Head of School and the Board informed as to the financial condition of the School.
  • Preparing and reviewing financial and budget statements, investment and capital project reports for review and approval by the Head of School, Treasurer, Finance Committee and/or the Board.
  • Providing reports to the Finance Committee and/or the Board on significant financial matters as requested or appropriate.
  • Keeping up-­‐to-­‐date financial records for the annual audit.
  • Recommending to the Head of School, the Treasurer, the Finance Committee and/or the Board any steps necessary to correct budgetary variances during the school year so that budgeted targets can be met.
  • Coordinating the planning, execution and financing of major construction projects at the direction of the Head of School, the Board and/or the Finance and Building and Grounds Committees.
  • Monitoring all loans and indebtedness.
  • Developing key banking relationships and ensuring full access to an adequate line of credit.
  • Establishing and maintaining a system of internal controls and approvals for cost-­‐control of resources to ensure integrity and effective processes for ordering, purchasing, delivery and expense reimbursement.

BUDGET 

  • Preparing the preliminary annual budget after consulting with the Head of School and Senior Leadership and submit proposed budget to the Finance Committee.
  • Recommending to the Head of School, the Finance Committee and the Board annual tuition increases, financial aid budget, and salary scale/benefit plan increments, if any.
  • Ensuring all expenditures are consistent with the approved budget and that deviations from the budget are explained and approved in advance.

ACCOUNTING  

  • Establishing and maintaining appropriate procedures and controls for all financial systems, in accordance with IRS, AICPA and FASB standards, and for supervision of accounting and bookkeeping personnel.
  • Supervising Business Office activities including payroll, accounts payable, expense reimbursements, accounts receivable, cash, financial aid, general ledger, purchasing, employee benefit administration, taxes and other accounting systems.
  • Coordinating annual independent audit including bad debt, confirmations and legal contingency matters.
  • Coordinating the School's relationship with its independent auditors and supervising the preparation of work papers for annual audit as well as reporting, responding to and/or implementing the auditor's administrative recommendations.
  • Ensuring compliance with all government regulations including, but not limited to, ADA, OSHA IRS reporting, fire/health and building inspections and EPA issues.
  • Establishing internal auditing procedures for financial and accounting systems.
  • Prepare or oversee the preparation of all income, payroll, and exempt organizational tax returns, reports, and statements. 

PERSONNEL MANAGEMENT

  • Establishing and supervising the administration of personnel programs and policies as they relate to hiring and termination procedures, time off, Workers' Compensation, safety, security, professional development, performance, evaluation and compensation.
  • Providing appropriate benchmark data and information to the Head of School and/or the Board, as appropriate, for compensation comparisons and the preparation of employment offers or arrangements.
  • Supervising the recruitment and hiring of all staff within the Business Office, Facilities department and Human Resources.
  • Supervising the maintenance and security of personnel records.
  • Supervising the administration of benefit programs.
  • Ensuring that employees are appropriately informed of the School's benefit programs and ensure the appropriate administration of such programs.
  • Ensuring that the School's personnel policies are developed, communicated to employees, and enforced and that the School's actions regarding hiring, compensation, training, expense reimbursement, promotion and separation conform with local, state and federal requirements.

STUDENT BILLING  

  • Administering accounts receivable, financial aid and parent contracts.
  • Overseeing and collecting of aged accounts receivable.
  • Working with parents on financial issues relevant to their children's enrollment at the School.
  • Analyzing, reviewing and approving financial aid awards in collaboration with the financial aid committee, the Director of Admissions and the Head of School.
  • Administering the tuition refund insurance program, including filing claims and dispersing funds.

PHYSICAL PLANT 

  • Supervising the Director of Facilities in establishing and maintaining standards of plant maintenance and repairs commensurate with the limitations of financial resources available with respect to the preservation of property, safety, the quality of student and faculty life, functional use and aesthetic values.
  • Recommending priorities to the Board in collaboration with the Director of Facilities and the Head of School and monitoring the schedule for timely completion of work.
  • Monitoring Facilities department purchases.
  • Supervising negotiations and approval of major contracts, work in progress and payments.
  • In collaboration with the Building and Grounds Committee, the Director of Facilities and Head of School, coordinate planners, lawyers, architects, engineers and contractors for campus master planning and major new construction or remodeling projects.
  • Identifying in collaboration with the Director of Facilities and making recommendations to the Board with respect to preventative maintenance and capital project initiatives including buildings, mechanical systems and equipment. Manage in collaboration with the Director of Facilities such initiatives.
  • Supervising the purchase and maintenance of furniture, equipment and supplies and systems to support the administrative and educational needs of the School.
Qualifications
  • Master's degree in business administration, accounting, finance or general management, or equivalent experience
  • A minimum of five years leadership experience
  • Satisfactory completion of pre-­‐employment background check; and meets any local or state health requirements
  • Previous experience within a school setting
