Job Description

The University of Nevada, Reno, School of Medicine (UNR Med) is recruiting for Administrative Assistant 3's for various student affairs and admissions positions. In addition to the below, UNR Med may have additional Administrative Assistant 3 positions for future openings.

Admissions and Student Services

The Administrative Assistant 3 position will be responsible for the Learning and Wellness Resource Center (LWRC) Program Coordination and Support. The position will participate and schedule committee meetings, rooms, catering, prepare agendas, event documentation and overall event management.

The Administrative Assistant 3 will hire, onboard, and oversee the management of payroll and HR processes. Duties include budget, allocation, monitor, disperse, reconcile accounts and fees. Coordinate travel, monitor calendars, edit, proof reports and memos. Maintain student tracking database with high degree of confidentiality.

Student Affairs

The Administrative Assistant 3 position supports the UNR School of Medicine in building a pipeline of students into the medical school by supporting the coordination of outreach and events. This position will utilize recruitment software to engage and communicate with prospective students.

Responsibilities include promoting events by developing flyers, sending invites, room reservations, catering, document preparation, communication with vendors and correspondence with speakers, instructors and volunteers. Administrative assistance and project management support in managing, tracking, implementing, and developing mission-based diversity initiatives.

This position will provide administrative support to the Director of Admissions, including scheduling, editing, proofing reports and memos, meeting preparation tasks, recruitment purchasing, pcard reconciliation, and recruitment budget tracking and reports.

Student Affairs and Administration

This position will work in the office of the registrar for UNR Med. The Administrative Assistant 3 will provide administrative support for the registrar, including medical student compliance training and immunization verification, and class composite development. Meeting and student service support including meeting minutes, document preparation, scheduling, student events, account tracking and reporting.

Coordinate tracking and collection of grades and evaluations, troubleshoot issues, evaluate individual student standing, identify and communicate to faculty and advisor students not meeting requirements. This position will provide guidance to Merchandise Committee and student employees on purchasing policies and procedures; compile financial, inventory, and sales reports; make recommendation on purchases.

This position requires the Administrative Assistant 3 to compile statistical and financial reports, refer students and staff to appropriate resources; liaison with other units to troubleshoot and resolve admissions, registration, and student affairs issues.

Required Qualifications
  • Graduation from high school or equivalent education and three years of progressively responsible relevant work experience which included experience in one or more of the following areas: maintenance of complex records and files; public/customer relations including explaining detailed policies, regulations and requirements; preparation and processing of financial and statistical documents such as payroll, travel, claims and budgeting forms; and assisting staff and management with projects and activities;OR
  • One year of experience as an Administrative Assistant II in Nevada State service; OR
  • An equivalent combination of education and experience as described above.


Schedule

The typical work schedule is Monday through Friday from 8:00 am to 5:00 pm; this is subject to change based on organizational needs.

Compensation Grade

Grade 27 (Entry, Step 01 $17.80/hr. - Step 03 $19.32/hr.)

In classified service, salary is in Grade and Step. The Step is determined based on the Nevada Administrative Code. Salary placement above a Step 01 at initial appointment is determined based on the recruitment, the candidate's qualifications, internal equity and budgets. A request to accelerate salary must be approved by Human Resources and abide by the Nevada Administrative Code.
