Job Description

JOB SUMMARY / GENERAL DESCRIPTION:
This position is responsible for providing administrative assistance to a senior manager or senior level individual contributor, or director; may provide primary support to more than one person. Handles confidential company, department, and teammate information.
ESSENTIAL JOB FUNCTIONS / PRINCIPAL ACCOUNTABILITIES:
Other duties may be assigned.  A teammate in this position must have the ability to:
* Coordinate a variety of administrative and other organization efforts, including complex coordination and scheduling of various travel, meetings, sessions, and other events.
* Determine methods and approaches for work/project completion.
* Work under minimal supervision and execute own work planning.
* Initiate appropriate action to resolve routine to moderately complex problems.
* Escalate issues to management, when appropriate.
* Exercise excellent judgment within areas of responsibility.
* Initiate timely response to emails, voice-mails, and written correspondence.
* Create Purchase Orders; Track & reconcile team/department spending, manages financial reports and keep manager informed as to status.
* Track status of department initiatives and projects; follow-up on outstanding action items and report status to manager.
* Analyze basic to intermediate spreadsheet models and synthesize pertinent information.
* Compile reference documents, information and databases for department use.
* Coordinate and effectively communicate with internal staff /customers and external vendors/customers.
* Read, interpret and apply difficult/complex instructions.
* Organize business environment for department/manager.
* Coordinate and administer special projects for department and/or corporate initiatives.
* Maintain accurate files, record, and data bases, and provide information on matters pertaining to records.
* Make photocopies and fax documentation as needed. Prepare correspondence and reports of a sensitive nature, including confidential information.
* Contact company teammate at all organizational levels to gather information and prepare reports.
* Arrange travel plans as required.  Coordinate with travel agency to schedule flights, rental cars and hotel accommodations, etc.
MINIMUM QUALIFICATIONS AND REQUIREMENTS:
A teammate in this position must:
* Have a High School Diploma or equivalent a must; with some college courses.
* Have 3-5 years administrative/clerical support, office management experience.
* Have 3-5 years PC experience and the use of business applications software, word processing, spreadsheets, email, presentations, and databases.  MS Office experience strongly preferred.
* Have strong problem solving skills.
* Have strong verbal and written communications skills.
* Be able to work under minimal supervision and balance administrative support workload among multiple individuals/teams.
* Have experienced in the use of database software; PeopleSoft experience a plus.
* Have working knowledge, experience, or exposure to Human Resources functions a plus.
* Be able to identify and work through problems and conflicting issues in a clear and diplomatic manner.
* Be able to work in diverse and fast paced environment.
WORKING CONDITIONS:
* Office environment.
* This position is expected to travel on a need basis only. Approximately 1%.
