MARKETING SPECIALIST
This role is responsible for directing workflow, coordinating, and tracking the status of multiple creative projects in development for our in-house agency (Greenhouse) to help business owners execute Marketing programs effectively and efficiently. This individual will help organize and track projects and deliverables for internal clients, including managing resources, schedules and deadlines. This role will also be familiar with the Quest visual and brand voice. This position may assist with other general marketing projects as assigned.
RESPONSIBILITIES:
Oversee the progression of creative projects, from project request through to creative development and completion
Ensure that project requests are clear and complete to contain all required information, files, and creative or production briefs as needed
Assign schedule templates to projects (build, update, and adjust as needed)
Recommend and distribute assignments to creative team as approved by resource manager
Schedule and run project kick off calls as needed
Ensure adherence to project deadlines, monitoring and adjusting as needed
Monitor, update, and communicate project status; generate reports as needed or assigned.
Maintain project files/project jacket
Work closely with Production Specialists to communicate job status, production proofs and approval/release
Assist with preparation and distribute estimates and invoices to clients
Evaluate current traffic processes and proactively provide suggestions for improvement
Build effective relationships with team members and clients
Power user for project management system (Workamajig)
Ability to effectively communicate the Greenhouse creative process to new hires
QUALIFICATIONS:
Education
BA/BS in Marketing, Communications or a related field
Experience/Skill Set
Five (5) years of progressively expanding roles in Marketing, Communications, or other related business discipline; healthcare/advertising agency industry preferred, and experience with job trafficking and resource management required; print production management also a plus.
Excellent oral and written communication skills
Demonstrated ability to manage multiple, complex tasks/projects under pressure while staying organized and meeting deadlines
Ability to manage high volumes with an emphasis on detail and quality
Excellent time management skills with an ability to effectively prioritize
Assertive, but diplomatic
Adaptable to change
Versatile, easily works with many different personality types
Proven client relationship management skills
Process oriented, yet flexible
Excellent computer skills – Microsoft Office/Excel required, knowledge of other graphics programs and digital asset and project management systems a plus (Workamajig strongly preferred)
