Administrative Assistant -Collect information and compile, type, copy and distribute Wednesday Night Update. (Tuesday-staff meeting, and Friday for Sunday) -Collect information from Sunday tear-offs for staff meeting. Send Letters to visitors make copies and distribute. Add visitor information to prospect listing. -Keep up Church membership using ACS. Prepare reports and Church Directory. (add, delete, change information) -Type and copy correspondence files for Church member, committees and Sunday School classes including but not limited to: Finance Meeting, Deacon-s meetings, Council meetings, birthday listings, nursery listings, etc. -Prepare large mail outs for Church committees or Treasurer -Typing, copying, mailings, power points slides, for Minister of Music, Minister of Youth/Children and Minister to Senior Adults. (ex: Tours brochures, children's bulletin, LAAF reminders/minutes, special events such as Senior Adult Banquet) -Answer phone, give/take information, direct calls to appropriate individuals -Answer door bell, and greet all visitors and church members. -Bi-weekly Newsletter (compiling information, typing, uploading to server & to Church website, making copies and distributing as needed) -Collect and compile information for yearly Leadership & Membership directories. Working with The Office Manager and others for up to date info, preparing final drafts to be sent to printers. -Working closely with The Office Manager on memorials/Thank You/ and other recognition for The Messenger. -Supper List, Birthday List, Keeping up to date -Monthly Birthday Lists, Extended Session, Van Driver lists. (Keeping up with current changes of information for The Messenger, and The Bulletin) Additional Daily Duties MONDAY -Call Hospitals - for updates on Room #'s & releases (update all staff on daily changes) -Committee Post Cards -for the next week (as needed excluding Finance or Deacons Meeting) -Bulletin Tear-Off compile information (for staff meeting on Tuesday) visitors, prayer requests, any special info from the tear-offs is typed for staff only. Make copies of the compiled data (Tear-off is located in Word Perfect) -The Update Compile information from tear-offs, staff, emails, and other sources Type Updates -Make 5 copies of each for Staff Meeting on Tues. -Supper List (weekly) Update Wednesday Night Dinner List-add or delete as needed. The final count is written on a post it note, # adults # Children. This number is given to Patty Huffman on Tuesdays by noon. (She will call in for the count) -Prayer Line -Messenger Collect, compile, insert News Articles for the Messenger (from Church members, staff and other sources) -Food Pantry Requests- Calls are taken in the church office from 9-9:30 every Monday morning to request food for the following week. A list is compiled of 5-6 families per week. TUESDAY -Call Hospitals - for updates on Room #'s & releases (update all staff on daily changes) -Staff Meeting: is at 10:00 am, 3rd Tuesday at 2:00 pm (5 copies: The Update, Bulletin Tear off information sheet, The Church Calendar) WEDNESDAY -Call Hospitals - for updates on Room #'s & releases (update all staff on daily changes) -Power Point Slides-for Sunday Service -Wednesday Update Make 80 copies of the Update on colored paper (as late as possible) one for each staff member, place half of the copies in the Fellowship Hall, the other half in the hallway across from the Sanctuary. -Wednesday Night Dinner Place money bag with dinner list in the Fellowship Hall on the table. -Birthday List -10 copies on the bulletin board (monthly) THURSDAY -Call Hospitals- for updates on Room#-s & Releases (update all staff on daily changes) -The Messenger -Every other Thursday, all information collected is finalized and sent out to church members via email. Homebound Church members a copy is mailed to them by regular mail. -The Update - Gather leftover updates and put in box on the wall outside Sanctuary. FRIDAY -Food Pantry List- Tape the list of names to the food pantry door, for Monday pick-up. -The Update Update info as needed, hand out one copy to each staff member. Make twenty-five copies on white paper these are placed in the hallway across from Sanctuary. -The Bulletin Put bulletins in stacks on the front counter for Sunday-s service, (when requested stuff bulletin with any info needed for that week)
