Job Summary: The Benefits Specialist reports directly to the Benefits Manager and is responsible for assisting with the administration of all benefits and retirement programs, including medical, dental, vision, life insurance, short- and long-term disability, and 401(k) plan. The Benefits Specialist position assists employees with benefits enrollment and questions, manages all insurance billing, maintains employee database and files, and works with Payroll to ensure that benefit deductions and other related compensation transactions are accurate and processed in a timely manner.
Key Responsibilities:
  • Ensures the accuracy of all benefits enrollments in the HRIS to provide vendors with accurate eligibility information.
  • Performs quality checks of benefits-related data to ensure that we maintain accurate files on employees and the compensation and benefits they receive.
  • Assists with new-hire orientations.
  • Assists employees regarding benefits claim issues and plan changes.
  • Distributes all benefits enrollment materials and determines eligibility.
  • Responds to benefits inquiries from managers and employees on plan provisions, benefits enrollments, status changes and other general inquiries.
  • Processes and administers all leave-of-absence requests and disability paperwork: medical, personal, disability and FMLA.
  • Effectively interprets FMLA and ADA implications as they relate to leaves of absences/disabilities.
  • Responds to 401(k) inquiries from managers and employees relating to enrollments, plan changes and contribution amounts. Manages the annual catch-up contribution enrollment.
  • Assists with the open enrollment process.
  • Provides necessary reports for allocation/billing charges.
  • Maintain employee benefits filing systems and ensure benefits changes are entered appropriately in Payroll system for deduction.
  • Assist employees with health, dental, life and other related benefit claims.
  • Verify the calculation of the monthly premium statements for all group insurance policies and maintain statistical data relative to premiums, claims and costs. Resolve administrative problems with the carrier representatives.
  • Administer COBRA.
  •  Review and respond to unemployment claims with appropriate documentation.
  • Review monthly unemployment statements.
  • Processes and administers all leave-of-absence requests and disability paperwork: medical, personal, disability and FMLA.
  • Effectively interprets FMLA and ADA implications as they relate to leaves of absences/disabilities.
  • Assist Benefits Manager in obtaining statistics and information in renewal process of any health, life and retirement plans that benefit the company.
  • Prepare and set up meetings designed to help employees obtain information and understand company benefits and other related incentive programs. Ensure distribution of required employee notices.
  • Prepare and maintain biweekly employee reports, new-hire and absentee reports. Maintain and update company organizational charts, phone directory and other requested reports as needed.
  •  Assist Benefits Manager in completing benefits reporting requirements.  Perform other related duties and participate in special projects as assigned.
Job Requirements: Minimum Qualifications: 1. Associate's degree in HR or related field, but experience and/or other training/certification may be substituted for the education. 2. Two years' experience in HR and/or benefits administration. 3. Demonstrated experience with MS Office products, particularly Excel. Preferred Qualifications: 1. Bachelor's degree in human resources or related field of study. 2. SHRM Certified Professional (SHRM-CP) or SHRM Senior Certified Professional (SHRM-SCP) certification credential. 3. Prior customer service experience
  Professional Skills:  Strong analytical, verbal and written communication skills; ability to work with all levels within the organization;  Demonstrated consulting and leadership skills, including ability to make decisions to ensure effective achievement of objectives;  Able to apply excellent business acumen and collaborative skills when resolving problems;  Must be organized with an ability to manage workload efficiently to fulfill commitments in a timely manner;  Detail-oriented with strong ethics and integrity;  Ability to handle multiple projects simultaneously;  Effective time management; and  Ability to learn and maintain confidentiality.
  Supervisory Responsibility This position manages the Compensation and Benefits Specialist and may lead projects teams periodically. Work Environment The job operates in a clerical office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
