Payroll Assistant

Position Summary:  Assist payroll manager in processing weekly payroll for multi-state company. 

  • Weekly Payroll Administration
  • Proficient in computerized payroll.
  • Computing and entering payroll hours and sales accurately.
  • Follow up with location Managers on payroll questions/issues.
  • Print manual payroll checks on site when necessary.
  • Strong accurate data entry skills.
  • Excellent communication skills.
  • Honesty, integrity and confidentiality are a must.
  • Knowledge of Federal, State income taxes, and other miscellaneous payroll deductions.
  • Prepare various reports to submit to managers
  • Print and balance weekly payroll reports.
  • Generate weekly reports in Excel for various levels of management.
  • Maintain employees’ files and assist with administrative tasks such as filing       
  • Update vacation accruals and employee deductions as needed.
  • Inform store managers of information needed for completion of employee personnel files.
  • Verifying new hire paperwork is complete and valid for compliance purposes.
  • Assist employees with questions regarding anything payroll related.
  • Arriving to work on time and working required hours.
  • Environmental Demands:  Work is performed in office environment. Indoor office in temperature-controlled environment. 
  • Physical Requirements:  This job requires sitting for long periods of time, reaching, bending, stooping, twisting, kneeling, manual dexterity; hearing and speaking understandably, and good vision.
  • Mental Requirements: This job requires a positive enthusiastic approach, good judgment and common sense, ability to work under stress, ability to work with people from diverse backgrounds and cultures, ability to work for several different supervisors and able to accept constructive criticism, ability to prioritize, be accurate without supervision, reading, performing math functions, hearing and speaking understandably, reading comprehension.   It also requires the ability to cooperate and work as a team with co-workers.
  • Equipment/Machinery Used:  The nature of this work requires the use of a computer; monitor, computer keyboard, printers, paper shredder, fax machine, calculator, telephone, and copy machine.  
  • Education:    high school diploma or equivalent
  • Experience:   3 years experience or training in payroll, word, excel, typing and calculator usage, HRIS, payroll program, etc.
  • Certification/Licensure:  none
  • Special skills:  Microsoft Office applications; excellent oral and written communication skills; conflict resolution skills; willing to learn; able to provide own transportation to fulfill requirements of the job; able to work weekends and before or after normal business hours if necessary, honesty and integrity, confidentiality, ability to work as a team with co-workers.
  • Ability to resolve problems with tact and diplomacy.
