Administrative Assistant

We are currently searching for an experienced Office Administrator to maintain and manage our Northwest Austin office location.  As the “face” to TTEC, the ideal candidate will have effective client management and executive management skills, exceptional organizational skills, efficiency in office management, and will be a self-starter with a can do attitude.

Key areas of responsibility are:

§  Greet and direct all visitors, including vendors, clients, job candidates and customers

§  Assist facilities personnel with office build-outs for office space needs

§  Manage office equipment maintenance and establish and maintain vendor relationships for office supplies, tech support, catering and hotel properties 

§  Maintain all files associated with vendors, equipment, candidates, expenses, and other general office and historic documents

§  Perform mail distribution, postage machine administration, mailing and shipping and courier package management

§  Coordinate all facilities requests and communication with property management for cleaning and service needs, using vendor online work order system

§  Administer and manage office sign-in security procedures and compliance

§  Assist visiting clients with travel for ground transportation reservations, lodging accommodations, and concierge services, including restaurant recommendations and organizing social functions

§  Responsible for event planning that includes catering needs for client meetings, internal training sessions and special events

§  Assist Recruiting with candidate travel coordination, applicant tracking, database management , and interview coordination and scheduling

§  Assist HR with new employee on-boarding and new hire paperwork administration

§  Responsible for establishing, maintaining and enforcing Austin’s General Office Policies & Procedures.  Develop standard procedures and routines as necessary

Required skills:

  • 5 years prior office reception, office administration or office management experience
  • Proficiency with Windows operating systems and of Microsoft Office Suite
  • Experience working for an IT services company or experience working in the information technology industry.
  • Excellent oral communication skills and exceptional interpersonal skills
  • Effective organizational skills with the ability to prioritize daily work flow
  • Ability to work independently and under pressure
  • Establish and maintain effective working relationships with co-workers, supervisor and members of the Executive Team
  • Perform reception duties in an efficient, professional and courteous manner
  • Flexible and adaptable to changing priorities, ability to take direction from several contacts at one point and prioritize accordingly
  • Ability to maintain confidentiality and diplomacy
