Robert Half is actively seeking an Administrative Assistant for a large healthcare organization here in San Francisco. This Administrative Assistant provides academic administrative assistance- managing calendars, creating call schedules, coordinating meetings, general ledger reconciliation, grant proposal support, handling purchasing, correspondence, as well as assisting with preparing teaching materials. The Administrative Assistant will interact with all levels of the institution responsible for coordinating and completing projects and mailings.

RESPONSIBILITIES INCLUDE:Greets patients, answers phones, schedules appointments and coordinates recallCoordinates all purchases for general office supplies, office equipment, and other large item purchasesOpens and distributes mailWrite and distribute email, correspondence memos, letters, faxes and formsAssist in the preparation of regularly scheduled reportsUpdate and maintain office policies and proceduresMaintain contact listsSubmit and reconcile expense reportsProvide general support to visitorsAct as the point of contact for internal and external clientsLiaise with executive and senior administrative assistants to handle requests and queries from senior managers

- 3+ years of experience in an administrative support role
- 1+ year of project management / assistant experience
- Proficient computer skills in Microsoft Office applications (Word, Excel, Outlook)
- Working knowledge of office equipment, like printers and fax machines
- Basic knowledge of medical terminology preferred
- Knowledge of office management systems and procedure
- Good organizational, interpersonal and communication skills
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
