Office Specialist II

The Office Specialist position provides customer service, clerical assistance to office staff, compiles and maintains records of business transactions and office activities, and handles basic data entry.

General office skills

Utilize Microsoft Outlook

  • Navigate and use necessary programs such as AS400, Salesforce, Workbench, Auto IMS, Microsoft Office (Excel, Word, etc.), The Vault

Facilitate on and off site repairs/diagnosis

  • Schedule appointments
  • Organize transportations
  • Communicate with service advisors
  • Relay findings to arbitrators/clients, document findings in AS400/Salesforce
  • Submit invoices to accounting with appropriate billing instructions

Assist in basic arbitration tasks

  • Have a basic understanding of arbitration policies
  • Notify clients when vehicles are available for pickup
  • Update clients of arbitration status
  • Re-stock vehicles
  • Provide gate passes
  • Respond to emails/voicemails
  • Communicate with other auctions concerning offsite arbitrations
  • Update notes in AS400/Salesforce
  • Work with Autocheck to ensure vehicles are listed with correct announcements
  • Complete transportation reports


•High School Diploma or equivalent required.

•Prior clerical or administrative experience required.

•Valid Driver’s License and safe driving record required.

•Good communication and organizational skills required with strong attention to details.

•Basic computer software skills required.

•Commitment to providing excellent customer service required.

•Must be able to operate adding machines and other office equipment (i.e., copier, fax machine, etc.).

•Ability to sit or stand for prolonged periods of time.

•Ability to perform repetitive data entry tasks; manual dexterity.

•Ability to multitask in very busy and fast paced office environment

•Willingness to be a team player and maintain consistent professional customer service.

•Must be able to operate a web based phone system, maintaining 80% call answer rate.

•Vision abilities required include close, distance and depth perception.
