-Perform administrative duties of a moderately complex & confidential nature in support of departmental or divisional activities to relieve supervisor of clerical & administrative responsibilities & to maintain efficiency of departmental or divisional office operations.
-Provides administrative & clerical support to relieve department managers or staff of administrative details.
-May take & deliver messages, provide information to callers, setup & maintain files, provide workers with office supplies, prepare & sort mail perform typing assignments, proofread, & research & compile special reports.
-Operate automated equipment.
-Organize & maintain divisional or departmental files of records, reports & correspondence required for reference & efficient operation of division or department.
-Maintain up-to-date management & procedural manuals, directives, & related records Compile & summarize data & assist in preparing regular & special reports requiring analysis & evaluation of data Review reports received for supervisor.
-Check & compare with source documents & bring significant items, changes, errors or omissions to the attention of the supervisor.
-Works on assignments that are semi-routine in nature in which ability to recognize deviation from accepted practice is required.
-Process a considerable amount of confidential & sensitive information in support of administrative activities.
-Type letters, reports & records ensuring grammatical accuracy, conformance with established procedures & factual correctness.
-Arrange for & schedule appointments & meetings for supervisor Interview callers
-Answer questions concerning departmental or divisional activities
-Transmit instructions &/or information to & from staff member
-Serve as liaison with internal & external agencies
-Make proper referrals as necessary
-Prepare materials & make arrangements for conferences & travel
-Prepare necessary documents for supervisor's use in meetings
-May attend meetings to take minutes or provide information as requested.
Work requires a broad knowledge of clerical & accounting principles & practices normally acquired through two years of post-secondary education in secretarial science or a related business field. Work generally requires two years of related secretarial/clerical experience to acquire skills necessary to administer office functions related to office management, communications, & budgetary/accounting activities. Excellent customer service skills. Ability to build rapport with internal & external customers. Ability to seek guidance when answer is not clear. Receptive to feedback from others. Ability to prioritize workload Sense of Urgency for time sensitive projects. Teamwork, Attendance, Professionalism, & Excellent Phone demeanor. Takes on other assignments willingly. Accuracy of work. Displays proficiency in Microsoft Office Suite & other office applications & office procedures at intermediate to advanced level with testing demonstrated at 85 % on intermediate level.
