Law Department Operations Administrator

The Pep Boys - Manny, Moe & Jack LLC Kennesaw, GA Full Time

Position Summary

The Law Department Operations Administrator provides a full range of administrative and clerical support to the Law, Loss Prevention, Environmental Health & Safety, and Employee Relations & Compliance departments. This position also has project management responsibilities and requires creative problem-solving.
This position is located at our corporate office in Kennesaw, GA.

Duties & Responsibilities

* Handle all aspects of invoices including check requests and management of the electronic billing system
* Plan/schedule meetings and travel arrangements for multiple individuals
* Coordinate logistics for meetings and conferences
* Complete expense reports for multiple individuals
* Provide administrative support including copying, scanning, faxing and mailing
* Create, format, revise and edit legal and HR documents
* Prepare and edit correspondence, minutes, letters, memos, presentations and spreadsheets
* Review and proofread documents and correspondence to ensure accuracy
* Respond to inquiries received from the field regarding legal documents
* Assist with compliance with document retention guidelines including maintaining files and identifying records for destruction
* Distribute mail and legal documents received via the company's registered agent
* Set up, organize and maintain paper and electronic filing systems in accordance with recognized procedures and standards
* Record and monitor deadlines
* Coordinate settlement payments
* Assist with maintenance of HR and employee personnel files
* Project back-up support for Contracts Administrator and Litigation Paralegal as needed
* Manage special projects as assigned
* Other duties as assigned.

Knowledge, Skills, and Abilities:

* High school diploma or equivalent is required; Associate degree preferred.
* Paralegal certificate is preferred.
* Minimum 2 years working in a business environment is required.
* Prior experience working in a law firm or in-house law department is preferred.
* Strong proficiency with Microsoft Word, Excel and PowerPoint is required.
* Strong overall computer skills is required.
* Excellent time management skills and the ability to prioritize work.
* Attention to detail and organizational skills.
* Excellent written and verbal communication skills.
* Strong organizational skills with the ability to multi-task and meet deadlines.
* Ability to adapt to changing priorities and demands.
* Ability to effectively handle sensitive and confidential information.
* Ability to work effectively as part of a team.
