SUMMARY:

The Administrative Assistant performs a broad range of administrative duties to support all staff including serving as liaison for communications with management and senior staff.

RESPONSIBILITIES/TASKS:

  • General administrative duties include mail distribution, filing, faxing and maintaining office supplies.
  • Receptionist duties including answering and transferring phone calls, welcome guests.
  • Maintains company voicemail system. Retrieves voice mails and routes to appropriate party.
  • Scan and track incoming business documents.
    • Shipping, receiving and routing Orange County mail, packages (e.g. UPS) and special deliveries.
  • Primary contact for office visitors, including guest security badge requests, guest office space requests, parking validation, and pick-up and drop-off of subpoenas and records.
  • Employee badge processing for all employees.
  • Maintain conference room calendars and ensure that conference rooms are set up.
  • Endorses and sends checks received to Finance.
  • Assists with coordination of office activities, company wide events and programs for CompWest offices, maintaining confidentiality of information processed.
  • Prioritizes and follows up on information and incoming/outgoing requests, keeping manager updated as necessary.
  • Monitors the ongoing status of projects and follows up on open items as necessary.
  • Floor guardian for the office. Lead company liaison for safety training and crisis communication.
  • Coordinate facility maintenance.
  • Adheres to the Employee Code of Ethical Conduct.
  • Completes other duties and special projects as requested.
