Provides oversight of day to day operations, which include analyzing current and future operations and providing recommendations and innovative changes as needed. Provides training to support staff on departmental operations, as well as monitoring their work for accuracy and completeness. Answers questions regarding departmental and university operations, policies and procedures from faculty, staff, as well as internal and external constituents. Resolves any issues that may arise regarding operational procedures and policies. Oversees departmental program and project activities, including Test of English Proficiency for Associate Instructor Candidates (TEPAIC) coordination, conferences, special programs, graduate events, and guest speakers. Collaborates with the Registrar concerning the preparation of the schedule of classes specifically the accuracy of courses offered and instructors of record for the department. Monitors class enrollments. Prepares, analyzes, and creates departmental reports and materials. Coordinates web changes and updates. Fosters an atmosphere of cooperation and collegiality within all areas of the department. Responds to persons needing assistance from the department. Coordinates faculty recruitment, orientation, leaves, and annual reviews.
Advises department chair on departmental issues and coordinates faculty teaching assignments, and coordination of AIs for English Language Improvement Program (ELIP), Intensive English Program (IEP), and research assignments. Serves as liaison to all faculty, staff, adjuncts, and graduate student instructors and provides coordination across differing operational office functions, facilitating the daily decision-making and problem-solving activities for the department.
Provides assistance to the IEP when both the Director and Assistant Director of the IEP are away from campus on official business for extended periods of time, such as recruiting trips and conferences.. Handles all confidential faculty and staff issues that impact effective communication and implementation of program area functions (schedule of classes, faculty assignments/appointments, visiting faculty accommodations, adjunct/part-time faculty, graduate student employment records re: performance). Also coordinates office space assignments for faculty and associate instructors which includes computer and phone set ups as well as assignment of phone numbers and access to printers.
REQUIRED: High school diploma or GED and three years office experience including or supplemented by experience in administering a program.
Able to communicate clearly across diverse populations and cultures, with a high level of professionalism, and have the ability to be firm, yet sympathetic to the deadlines and stressors of multiple parties. Strong organizational skills including the ability to multi-task and work well under pressure. Able to work independently and collaboratively. Problem-solver, detail-oriented, high energy. Equally comfortable with computers and people. Able to use the phone when immediate communication is essential.
Bachelor degree. Experience with international students. Experience with program or event management. Knowledge of IU systems including but not limited to: Elvira, registrar, SIS, purchasing, IU online applications, OnCourse/Canvas, edocs, edoc-lite, cicada, new course submissions, course revisions, drop/add, and T101 start up twice/year.; mastery of Department, College, University, Graduate School, Registrar, and all other relevant system once hired.
Working Conditions / Physical Demands
Possibility of multiple mental stress points when execution of processes overlap. Extended periods of time at computer. Walking across campus for meetings; may have to work with SLS faculty members in other buildings (Student Building, Ballantine, Weatherly).
Salary Range $31,908 - $35,000
