Job Title:             Accounting Administrator

Pay Type:            Hourly  

Classification:   Full Time (8 to 5)

Pay:                       ­­­­­­$22-24/hr.

Reports to:         Accounting Manager

Job Summary

The accounting administrator is an essential team player within the accounting department. Responsible for reconciliations, reviewing accounts payable, processing payroll data for 3rd party payroll processor and HR record keeping & support for employees.

Job description


-          Enroll and terminate employees in benefit plans

-          Prepare and track health insurance enrollment/termination information

-          Ensure timely entry of E-Verify data

-          Ensure legal compliance by monitoring and implementing applicable human resource federal and state requirements and maintaining records

-          Retain historical human resource records by designing a filing and retrieval system and keeping past and current records

-          Assist employees with questions related to their benefit plans or payroll information, including their deductions or beneficiaries

-          Assist in analysis of health deductions and ER match on a bi-weekly basis

-          Cultivates professional and technical knowledge by attending educational workshops and reviewing professional publications


-          Ensure onboarding and termination processes are accurate and timely

-          Gather weekly time to prepare and review for submission to processing center

-          Manage Time and Attendance accounting

-          Prepare and assist in analysis of payroll reports

-          Maintain payroll records

-          Assist in the analysis of payroll and tax accruals and monthly journal entries

-          Address payroll related issues using sound analytical, reasoning and judgement skills


-          Interact with purchasing department to ensure accurate information on vendor invoicing

-          Daily entry of AP invoices

-          Process weekly check runs


-          Review billing coding, GL and sales tax

-          Daily check deposit

-          Maintain sales tax rate schedules

-          Monthly sales tax reporting

-          Reconciliation of revenue and sales tax accounts

Credit & Collection

-          Run credit on pending customers

-          Weekly collection calls

-          Monthly reporting on customer account balances

-          Track COD customers as it relates to shipping dates


-          Interface with other functional departments to facilitate resolution of issues

-          Prepare reconciliations in accordance with month end close

-          Assist in monthly financial closing process

-          Assis in year-end audit requests

-          Work on special projects for partners at the approval of the Accounting Manager      


-          Answer phones when necessary

-          Support other administrative staff within the company as needed

Education Requirements

                High school education or equivalent

Experience Requirements          

                One+ years' experience processing payroll.

                One+ years' experience processing HR paperwork

                Microsoft Excel (high skill level)

                Microsoft Word (high skill level)

                Microsoft Outlook (basic skill level)

                Some bookkeeping

General Assessment skills

Demeanor is steady and consistent         

Obtains and passes on relevant information to others who should know

Excellent written and verbal communication skills             

Able to work effectively in a team environment both within the department as well as outside of the department

Exceptional organizational skills with a high consideration to detail and accuracy

Must be able to be entrusted with confidential information
