Nature of Work
THIS ROLE IS TEMP TO PERM
Provides administrative support for the VP of Application Services. Works closely with the Admin Manager. Oversees office operations and ensures office activities comply with policies and procedures. Must be able work extremely well in a team environment and handle multiple tasks simultaneously.
Develops and maintains spreadsheets. Initiates, processes invoices, check requests.
Maintains several calendars, works with daily schedule and prioritizes meeting requests for VP, and Project Managers.
Ensures VP is appropriately prepared for daily activities.
Coordinates, prepares materials for meetings and special events.
Prepares charts and graphs for reports and presentations.
Screens items that are routinely handled and prepares appropriate responses.
Works under minimal guidance
Maintains various databases and/or spreadsheets.
Sets up and organizes supplies, conference rooms and electronic filing systems.
Answers, screens and routes incoming telephone calls.
Coordinate domestic or foreign travel arrangements.
Prepares Travel Expenses.
Performs related responsibilities as required.
Knowledge, Abilities, and Skills
Must possess a minimum of 5 years of administrative experience.
Must have excellent computer skills.
Proficiency with MS Office is a must. (Outlook, Word, Excel, PowerPoint, and Visio knowledge is extremely necessary.) Must be very proficient in Outlook due to the high volume of meetings.
Must be able to type a minimum of 50 wpm.
Must possess excellent written and verbal communication skills.
Must be an independent worker, self-starter and have great abilities to work with a team.
Must be able to set priorities and manage time.
Must be detail-oriented and possess excellent organizational skills.
Must possess excellent clerical skills.
Must possess extreme confidentiality.
Prior experience working with numbers related to A/P and A/R on end of month process is required.
