Job Title: Administrative Assistant (Japanese Bilingual)

Language Requirement: Fluency in English and Advanced Japanese language skills,
Qualifications: Any Administrative/ HR/ Accounting experiences preferred
Essential Job Duties (Not Official: Please ask for more details during the interview)
Administrative Support
• Answers and directs telephone calls; takes or transfers messages as necessary.
• Maintains office supplies and equipment; refills supply and arranges for repairs as necessary.
• Orders business cards.
• Verifies and matches vendor invoices for AP enters transactions into the system.
• Checks mailbox, sorts and distributes mails. Sends out letters or packages.
• Organizes and schedules meetings and appointments, makes meeting memos.
• Arranges hotel, airline, rental car, taxi, and restaurant reservations for Management and guests from abroad.
• Greets visitors and directs them to designated personnel; provides general supports to visitors.
• Produces and distributes correspondence memos, letters and forms.
• Develops and maintains filing system.
• Translates documents from English to Japanese and vice versa.
• Supports Management to plan and change office layout with vendors.
• Contacts building Management to request service for repair, replacement and adjustment of lights, AC and other office facilities/equipment.
• Suggests Management for office improvement ideas.
• Runs company’s errands when necessary.
• Maintains corporate credit cards and enters corporate card transactions in the system.
Other & Miscellaneous
• Seeks continuous improvement, more efficient and less expensive ways and means in work processes.
• Performs special projects and other miscellaneous duties as assigned by Management.
• Maintains high ethical standards in the workplace.
• Reports all irregular issues and problems to Management for solution.
• Maintains good communication with other Managers, staff & outside contacts.
• Complies with all company policies and procedures.
• Responsible for maintaining a clean and safe working area.
