Job Description

Primary Duties and Responsibilities:

Administrative support: Provide administrative support to the Indiana Liver Research Center (ILRC) including, daily oversight of all administrative components of the ILRC program. Prioritize and maintain schedules/calendars for director, clinical director, scientific director, associate scientific director, primary advisor and staff. Schedule and coordinate logistical arrangements for seminars symposiums, meetings, conference registrations and presentations, and all associated travel engagements. Draft correspondence, edit and submit documents/reports. Serve as first point of contact for the Indiana Liver Research Center (ILRC) Research, Policy and Membership.

Collaboration Management: Develop and maintain relationships with all stakeholders (internal, investigators/clinicians, department-wide, institutional, local, state, and national) for consultation of past, current, and future projects both in research and education. Promote services of ILRC program office to internal and external organizations through networking and advertisement opportunities to help in developing strong membership within the ILRC.

Program Management: Provide support and implement administrative systems and processes. Generate reports, create and manage databases, trouble shoot and resolve problems with system and process breakdowns. Attend meetings (take minutes if needed) held by ILRC or attend on behalf of ILRC to represent interests of the center.

Proposal coordination: Compile, edit and review administrative pieces of research grant proposals under the guidance of the director. Coordinate collection of collaborative grant documents for ILRC to meet grant submission timelines and guidelines. Work with Division Grant Manager for timely submission of grant. Coordination of ILRC grant awards and provide management of awards.

ILRC Symposium: Assist in the development and coordination of the Annual ILRC Symposium including but not limited to selection of speakers, agenda development, travel arrangements, venue coordination, food coordination, on-site trouble shooting.

Job Requirements

REQUIRED: Bachelor’s Degree from an accredited institution and two years program administration or coordination.

Combinations of related education and experience may be considered.

Possess a valid driver’s license with the ability to be insured by Indiana University.

Strong interpersonal and communication skills, including strong writing skills. Strong working knowledge of Microsoft Word, Excel, and Access. Exercise tact and discretion. Handle discretionary and confidential information. Work on multiple projects at one time. Willing to travel to local, state, and national meetings via car or air.

Preferred Qualifications 

Bachelor’s degree in business management, business administration, or related. Master’s degree. Experience in an academic setting or executive level support. Experience with grant writing and compilation.
