COMPANY OVERVIEW: We are looking for an Administrative Coordinator one of our clients, a luxury dealership company located in Midtown Manhattan for the Loan Cars Department. This is a temp-to-perm position. Hours Monday - Friday, 9a-5pm, overtime may be needed. An incumbent on this position will be responsible for ensuring that customers are being greeted as they approach the counter and that they are in the vehicle best-suited to their needs. The will promptly, professionally, and courteously assist customers with scheduling of appointments and loaner/rental car provisions. REQUIREMENTS: - High school diploma or equivalent - 1+ year experience in administrative/clerical/front desk capacity - MUST have strong Excel and data entry skills as they will be entering information on spreadsheets - Excellent phone ethic. - Proven problem-solving skills in a fast-paced environment - Ability to work in a deadline driven environment - Ability to handle multiple priorities and manage time in a deadline-driven environment - Excellent verbal and written communication - Strong organization skills, with a keen attention to detail Detailed Responsibilities: - Assist customers with vehicle drop-off and pick-up. - Manage the administration of loaner vehicles to customers. - Manage the flow of our loaner fleet. - Completes all necessary paperwork, explains loaner policies and procedures, and obtains all appropriate customers approvals. - Locates loan cars for clients. - Enters loan car data, license, and insurance information into the computer and creates contract, or loan car agreement with all required information. - Prepares loan car reports and tracks whereabouts and turnover time on loan car vehicles every day. - Updates client data base as needed. - Checks-in returned cars, inspecting for damage and securing mileage and closes agreement. - Arranges for repairs of damaged or malfunctioning cars. - Monitors mileage and arranges maintenance of loan car vehicles at required mileage intervals. - Ensures that cars are clean and operable before delivery to client. - If needed, assist with meeting and greeting service customers promptly in a professional and courteous manner. - Manage tickets - Manage E-Z Pass - Manage Length of Loan and Open Contracts - Manage Schedule and Spare Loaners
