  Summary:
  • The Travel Specialist provides administrative support through Health and Human Services (HHS) Notification of Foreign Travel, Department of State, Electronic Country Clearance request, Foreign Carrier Certificate, and other approvals as determined by HHS’s and the Centers Control and Prevention (CDC). This person prepares domestic and international travel orders to the satisfaction of divisions, branches, teams, and units accordingly. The Travel Specialist receives travel request forms with specific needs and creates travel shell utilizing CDC’s computerized travel system, GovTrip.

 

Duties and Responsibilities:

  • Reviews All International Travel Requests (ITR) from inception to completion.  Sends finalized documents to the traveler.

  • Monitor CDC Global for new and amended ITR.

  • Ensures ITR compliance with travel policies and procedures prior to advancing through approval process

  • Monitor ITR’s progression through processing

  • Once ITRs or Travel Authorizations (TA) is reviewed and found compliant, issues travel documents to traveler, and closes out the ITR after travel completion.       

  • Notify travelers of Visa status if requested.

  • Monitor Centers for Disease Control and Prevention’s (CDC) GLOBAL portal. 

  • Process all assigned ITR’s into TA’s, maintaining awareness providing modifications as needed throughout approval stages.

  • Communicates with ITR points of contact as required to obtain any additional documentation or information. 

  • Coordinate with the Global Travel Office (GTO) staff to ensure awareness and transparency of ITR/TA status to ensure timely progression of ITR/TA approval.

  • Process cancel trips in CDC Global

  • Ensures appropriate funding information (provided by ITR/POC) are used in creating TA, contact responsible party for any discrepancies identified.

  • Process sponsored ITR’s/TA’s; ensuring adherence to policy and procedural requirements.

  • Review ITR within CDC Global and ensure all required documents are present and track to completion.

  • Review requested country’s entrance is verified and confirmed for approval

  • Enter ITR requested traveler’s information and update statuses into the appropriate electronic data bases in accordance with Standard Operating Procedures (SOP’s).

  • Assist traveler with unique country requirements for entry. 

  • Modify electronic country clearances as necessary.

  • Communicate with internal and external customers to ensure actions are completed and identify and escalate actions when necessary to appropriate personnel.

  • Submit Monthly Status Report, at a minimum outlining separately for each service

  • Other duties as assigned

 

Minimum Qualifications: (To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.)

  • Five (5) years of Administrative or similar work experience.

  • Bachelors Degree preferred GED or HS Diploma required

  • Advanced working proficiency with Microsoft Office Suite: Word, Excel, Outlook

  • Strong communication skills

  • Priortization and multi-tasking ability

  • While performing the duties of this Job, the employee is regularly required to sit and talk or hear. Specific vision abilities required by this job include close vision.

  • The employee will normally work in a temperature-controlled office environment, with frequent exposure to electronic office equipment.

  • During visits to areas of operations, may be exposed to extreme cold or hot weather conditions.  Is occasionally exposed to fumes or airborne particles, toxic or caustic chemicals, and loud noise.
