Payroll Administrative Assistant

Milwaukee, WI

Shift: 8:00am-4:30pm (flexible)

Duration: 3-5 months

Responsibilities:

40% Kronos Payroll Administrator

  • Kronos administration
  • Enter badge numbers
  • Update pay rules & schedules when required
  • New hire set-up
  • Review Supervisor timecard operations
  • Review timecards for accuracy on a weekly basis
  • Provide weekly reports to supervisors on missed punches and corrections needed
  • Request missing pay codes for supervisors
  • All other Kronos support as needed
  • Send monthly and weekly reports for Kronos hours
  • Submit service requests for any issues or concerns with Kronos
  • Kronos Site Subject Matter Expert
  • Train new supervisors on how to use Kronos
  • Create documentation for training and one point lessons for common mistakes
  • Attendance tracking
  • Provide & post weekly report on attendance point status
  • Provide discipline to supervisors per attendance policy
  • Audit weekly on missed attendance points and provide feedback to supervisors
  • FMLA Proxy
  • Act as site FMLA proxy to the Standard and provide feedback to managers
  • Manage annual vacation request process by putting together annual vacation forms & working with supervisors
  • Manage union deduction information with union reps

40% Operations Support and Special Projects

  • Serve as the primary contact for third party staffing agency for all temporary staffing needs
  • Track all temporary employees currently at the facility & approve temp time cards
  • Onboard new temporary employees by walking through timecards, locker space, etc.
  • Work directly with department heads on temporary staffing needs
  • General filing needs
  • File Employee, Medical, Disciplinary Action & Grievances per file retention policy
  • Maintain seniority list
  • Job Bid Champion
  • Maintain all job bids for the site including posting and working with supervisors to award bids
  • Provide updates to the union on job bid changes
  • Serve as the point of contact for uniforms for employees and uniform vendor
  • Operations RIM (Records Inventory Management) point of contact
  • Includes coordinating RIM activities – responsible for labeling boxes and storage of documents, along with pick up and destruction of documentation according to RIM policies.
  • Responsible for keeping legal postings up to date and in compliance
  • Serve as back-up support for other administrative positions
  • Manage 7th day waiver program & keep documentation on changes up to date
  • Maintain site organizational charts

20% Support for New Hires

  • Support new hire orientation
  • Build materials/folders for onboarding
  • Manage room reservations & help support the technical trainer by ordering lunches or other supplies as needed
  • Provide onboarding information including attendance policy, probationary period, timecard, etc.
  • Assist hiring managers in new hire set-up in Employee Central
  • Responsible for I9 compliance including file maintenance and audit process. Attend training as necessary to keep up to date.
  • Responsible for Locker Assignment maintenance

Required Qualifications

  • High School Diploma
  • Minimum of 3  years’ experience in the administrative field
  • Minimum of 1  years’ experience managing payroll process
  • Strong written and oral communication skills
  • Strong MS Office skills, including Outlook, Excel, Word, PowerPoint
  • Attention to detail and appropriately handle confidential information
  • Effective time management and organizational skills
  • Desire for continuous process improvement
  • Ability to work independently, but also a strong team player, willing to help when and where needed
  • Demonstrated expertise in multi-tasking, handling projects and meeting deadlines in dynamic environment
  • Strong attention to detail
  • Ability to quickly adapt to changing priorities

Preferred Qualifications

  • Associate’s Degree in Business
  • Experience using Kronos
  • Experience using SAP
