Financial and Program Administrator

UNIVERSITY of CINCINNATI
The departments of Sociology, Political Sciences, Africana Studies, Judaic Studies and Women's Gender & Sexuality Studies (also known as Cluster #3) are accepting applications for the role of Financial and Program Administrator. The person in this role works with the faculty members and other staff in this department group to perform a variety of financial, grant-related post-award and programmatic duties in support of financial and program coordination efforts within the assigned departments. This is an hourly-paid professional position. The Financial and Program Administrator is responsible for achieving results by completing assigned duties in these categories:
Financial and Grant Support Duties
- Perform a variety of financial tasks including fund budgeting, making purchases by requisition and purchasing card (P-Card); making deposits and reconciling applicable funds and accounts including those that are grant-related and non-grant related
- Maintain the receipt and expenditure information in the university system for each purchase made (grant and non-grant accounts)
- Perform post-award grant-related duties as assigned
- Prepare accurate reports with balances for faculty members with sponsored research funds and other financial reports for the Business Administrator and Department Heads on other funds
- Collaborate with the faculty members and the A&S Grants Office on the timely submission of research proposals through UC’s required approval process
- Verify compliance prior to establishing awards and implement/interpret policies and regulations for allowable costs and cost sharing on grants
- Reconcile a variety of grant and non-grant funds for multiple departments in the cluster
- Reviewing all financial expenditures to ensure compliance with applicable university financial policies and prevent deficit fund balances in all accounts
- Ensure that P-Card charges are appropriately allocated on applicable grant accounts and other funds.
- Process travel and other expense reimbursements for assigned department(s) in Concur
- Assist with hiring of students, graduate assistants, adjunct faculty, etc. in assigned department(s)
- Perform timekeeping duties for hourly-paid staff and student workers as assigned in the cluster
- Order keys and routine maintenance as requested for assigned department(s)
Academic and Program Support Duties:
- Primary contact for departmental graduate and undergraduate programs and students
- Create courses in eCurriculum and serve as a resource for this program; Order courses for department(s) in Catalyst/CaRT and run reports from that system as needed
- Coordinate special events, program meetings, guest lecturers and all of the duties associated with running and paying for those events
- Collect information about graduating (UG) students; create awards for nominees and winners and Phi Beta Kappa inductees; and send information to Phi Beta Kappa about inductees
- Track Graduate Student progress for graduation certification and graduate coursework documentation
- Assist Graduate Director with the admissions process including Slate, Catalyst data entry; process graduate scholarships and fellowships
- Maintain departmental databases and generate periodic program data reports
- Respond to annual surveys with collected information about our graduate programs
- Solicit abstracts and advertise dissertation defenses. Assist students with finding an appropriate date/location and confirm that they are following the Graduation Checklist
- Setting up defense committees in GradTracker
Bachelor's degree; - OR- Associate's degree and two (2) years’ experience; -OR- four (4) years’ experience; degree must be in accounting or related field with related finance or accounting experience.
Ideal Position Requirements:
- Prior financial experience doing fund accounting
- Prior grant experience (particularly on the post-award side) preferred
- Knowledge of state, federal and foundation grants and grant administration systems, processes and budgeting
- Prior experience working with graduate and undergraduate students
- Strong project management, organizational and time management skills required
