Summary:
  • TheTravel Specialist providesadministrative support through Health and Human Services (HHS) Notification ofForeign Travel, Department of State, Electronic Country Clearance request,Foreign Carrier Certificate, and other approvals as determined by HHS’s and theCenters Control and Prevention (CDC). This person prepares domestic andinternational travel orders to the satisfaction of divisions, branches, teams,and units accordingly. The Travel Specialist receives travel request forms withspecific needs and creates travel shell utilizing CDC’s computerized travel system,GovTrip.

Duties andResponsibilities:

  • ReviewsAll International Travel Requests (ITR) from inception to completion. Sends finalized documents to the traveler.

  • MonitorCDC Global for new and amended ITR.

  • EnsuresITR compliance with travel policies and procedures prior to advancing throughapproval process

  • MonitorITR’s progression through processing

  • OnceITRs or Travel Authorizations (TA) is reviewed and found compliant, issuestravel documents to traveler, and closes out the ITR after travel completion.

  • Notifytravelers of Visa status if requested.

  • MonitorCenters for Disease Control and Prevention’s (CDC) GLOBAL portal.

  • Processall assigned ITR’s into TA’s, maintaining awareness providing modifications asneeded throughout approval stages.

  • Communicateswith ITR points of contact as required to obtain any additional documentationor information.

  • Coordinatewith the Global Travel Office (GTO) staff to ensure awareness and transparencyof ITR/TA status to ensure timely progression of ITR/TA approval.

  • Processcancel trips in CDC Global

  • Ensuresappropriate funding information (provided by ITR/POC) are used in creating TA,contact responsible party for any discrepancies identified.

  • Processsponsored ITR’s/TA’s; ensuring adherence to policy and procedural requirements.

  • ReviewITR within CDC Global and ensure all required documents are present and trackto completion.

  • Reviewrequested country’s entrance is verified and confirmed for approval

  • EnterITR requested traveler’s information and update statuses into the appropriateelectronic data bases in accordance with Standard Operating Procedures (SOP’s).

  • Assisttraveler with unique country requirements for entry.

  • Modifyelectronic country clearances as necessary.

  • Communicatewith internal and external customers to ensure actions are completed andidentify and escalate actions when necessary to appropriate personnel.

  • SubmitMonthly Status Report, at a minimum outlining separately for each service

  • Otherduties as assigned

MinimumQualifications:(To perform this job successfully, an individual must be able to perform eachessential duty satisfactorily.)

  • Five(5) years of Administrative or similar work experience.

  • BachelorsDegree preferred GED or HS Diploma required

  • Advancedworking proficiency with Microsoft Office Suite: Word, Excel, Outlook

Knowledge, Skillsand Abilities:

  • Strongcommunication skills

  • Priortizationand multi-tasking ability

  • While performing the duties of thisJob, the employee is regularly required to sit and talk or hear. The employee is occasionally required to stand; climb orbalance and stoop, kneel, crouch, or crawl. The employee must occasionally liftand/or move up to 25 pounds. Specific vision abilities required by this jobinclude close vision.

  • The employee will normally work ina temperature-controlled office environment, with frequent exposure toelectronic office equipment.

  • During visits to areas ofoperations, may be exposed to extreme cold or hot weather conditions. Is occasionally exposed to fumes or airborneparticles, toxic or caustic chemicals, and loud noise.
