Oversees the referral and admission activities of the CallCenter.  Assigns responsibilities to staff to assure prompt response to customer needs.  Serves as direct supervisor to Referral Administrators in CallCenter. Responsible for receiving, recording, disseminating, and tracking of referrals from markets assigned to the KidLink Network.  Receives information from referral entities as well as distributes information to KidLink supported facilities and Service Advocates. Maintains the referral database so that cases are appropriately tracked throughout referral process from receipt of referral to admission into network. Works jointly with Service Advocates in communicating with customers and facilities the status of youth referred for admission

  • Proficient in the use of electronic correspondence and word processing.
  • Prior experience working in marketing or referral development for a mental health or healthcare agency, preferred.
Job Requirements

Participates in orienting new intake directors at facilities supported by the KidLink Network of the collaborative effort between their facility and the national marketing team. Provides ongoing support to ensure effective and efficient systems between those facilities and the KidLink Network.

Serves as resource to staff in complex issues affecting referrals and admissions. Provides solutions to complex referral situations.  Seeks assistance from supervisor when necessary.

Participates in the planning and provision of ongoing staff education, development and training. Provides individual feedback and mentoring to staff as needed.

Provides leadership in conflict resolution ensuring fair and equitable treatment of all staff. Recognizes achievements of others. Management style promotes open lines of communication, a nonjudgemental approach with staff and allows staff to seek out information when needed.

Accountable for the delivery of services within the department consistent with the mission of the organization. Directly observes staffs performance. Takes action promptly when necessary to maintain quality of service.

Evaluates the effectiveness of existing departmental processes. Seeks input from families, referral sources, service advocates, facility staff and organization leaders on issues affecting the referral and admissions process. Collaborates with others in identifying need for changes. Plans, designs and takes action to implement new processes when necessary.

Reviews all departmental data to ensure all information is complete, accurate and current.

Facilitates weekly team call by providing Service Advocates with current census vs budgeted data by facility as well as updated information gathered from referral sources and facilities regarding the referral and admissions status of pending cases. Prepares and distributes reports which include comprehensive as well as individual facility data.

Prepares monthly reports for CEO’s, VP’s and Service Advocates tracking referral disposition time and percentage of accepted referrals.

Compile and report Service Advocate’s monthly admission data to VP of Sales and Marketing

Adheres to HR procedures in maintaining staffing as established in department staffing plans. Submits required, approved personnel requisitions as necessary.

Interviews applicants and selects competent, qualified staff to fill vacancies in a timely manner.

Represents the organization in a manner that conveys a professional, courteous, caring, and cooperative attitude.      

Maintains appropriate confidentiality at all times when interacting with patients, families, visitors, referral sources and all other contacts.

Exhibits and promotes excellent customer relations skills as evidenced by supportive and constructive communication with all contacts including coworkers, patients, visitors, families and referral sources.

Utilizes and promotes an open, nonjudgmental, nondiscriminatory and professional approach in all interactions.

Complies with and enforces company, departmental, safety and human resources policies.
