The Real Estate Procurement Coordinator is responsible for purchasing equipment, supplies, and
services, while negotiating to obtain the lowest cost consistent with consideration of quality and service.
This individual is the point of contact for field offices regarding centralized procurement, and interacts
with vendors as an internal customer service representative for the Real Estate Department.
Additionally, the position will be responsible for verifying and approving invoices and reviewing,
negotiating and approving various vendor contracts.
Essential Duties and Responsibilities:
+ Acts as liaison between Real Estate Department and vendors; communicates with vendors to exchange information, resolve discrepancies, correct errors, and clarify issues related to invoices, statements, orders, and deliveries
+ Sources most qualified and cost effective vendors and negotiates pricing for purchases from various vendors for assigned commodities
+ Prepares and authorizes purchase orders with current vendors under the direction of field and real estate management
+ Verifies and approves all invoices for assigned commodities
+ Reviews, negotiates and approves vendor contracts for assigned commodities
+ Responsible for Full Purchasing cycle of invoices: Responsible for receipt of invoices, reconciliation of invoices with purchasing contracts (pricing accuracy), and delivery of invoices to Accounts Payable for payment
+ Monitors and evaluates the use of contracted vendors and works to minimize spend outside of contracted programs
+ Responsible for reviewing practices and processes, increasing efficiency and reducing costs
+ Prepares monthly activity/cost savings report
+ Updates, tracks and monitors location of assigned commodities throughout the country
+ Works with Landlords and Property Managers, as well as internal Maxim employees and departments to coordinate the movement of assigned commodities
+ Performs other duties as assigned/necessary
+ Some college-level business-related coursework preferred but not required Bachelor's degree in business related field of study preferred
+ A minimum of 5 years of related business experience required
+ High School Diploma required Strong attention to detail, interpersonal skills, and oral/written communication skills
+ Detailed to spreadsheet-reporting and data-gathering skills
+ Ability to prioritize duties and multi-task, as well as meet deadlines
+ Must be able to work independently and in a team environment
+ Intermediate experience with Microsoft Office (Word, Excel, Outlook) required
+ Ability to effectively elicit/provide information to and from appropriate individuals (including, but not limited to, supervisors, co-workers, clients) via strong communication skills required; proficiency in the English language may be required
