Job Description

The Operations Administrative Assistant will directly support the Director of Operations, Project Management and Sales by assisting with processing orders with vendors, entering purchasing information into the system and reconciling the back-end/invoicing process. This role will add value by being willing to work in different environments providing administrative and analytical support in the areas of accounting, customer service and operations. Successful candidates for this role must be motivated, comfortable and enjoy working in a fast-paced environment with little supervision. They arelooking for someone who will give us answers to questions and problems, NOT someone who does not take the initiative and constantly asks questions. They want someone who will add value to our team and take pride in the growth and success of the company. Typical and daily responsibilities include:

* CSP Ordering/Reconciling

* Receiving of products in office, updating POs & Sales Orders, converting to Tickets/Projects in the system and agreements where applicable

*Monitoring items to be taken my technicians for scheduled appointments, shipping products out ahead of time for projects as needed

*Assisting with client budgets and quarterly planning items *Client emails/newsletters

*Marketing / Social Media

*Reconciling vendor invoices against PO/Sales Orders, entering into QuickBooks

*Invoicing products/orders to clients and converting items to configurations/assets in system

*Reconciling agreements from various vendor charges, such as O365, AV, Monitoring, etc.

*Invoicing on projects and service tickets when completed

*Processing received checks/payments in QuickBooks and completing deposit via Remote Check Deposit scanner in office *Backup coverage for lunch on answer incoming phone calls and entering service calls as a ticket into the database *Assist management as necessary *Assist customer with basic requests, such as setting appointments, providing basic information such as address and fax number, and addressing any questions callers may have. Other various administrative tasks assigned by management.
