As our Office Manager you will own a broad-based set of important responsibilities related to facilities management and administrative assistance across the organization. We are are looking for someone who is flexible in performing duties – in other words, has a 'whatever it takes' attitude to get the job done. You will help sculpt and maintain our corporate culture as we grow our team and business. The successful candidate will be passionate about working in a fast-moving environment, possess exceptional attention to detail, be an expert communicator, and above all, have energy to burn. Start-up experience is strongly preferred. The right person will be proactive when anticipating the future needs of our company and will be capable of providing support in various departments, as well as assist and/or lead diverse projects in all areas of the business. What you'll be working on: Office Management Manage overall office facilities, working to ensure that facilities are safe and clean for employees and visitors. Serve as an emergency contact for the office Front desk reception: greet guests, coordinate meeting arrival and set-up, field questions as appropriate, process incoming and outgoing mail packages. Responsible for the general upkeep, organization, presentation and cleanliness of the office, break room, conference rooms, storage areas, etc. Support accounting tasks, including expenses reports. Coordinate space planning and requirements, including: internal moves, preparation of workstations, interior design needs and furniture inquiries, repairs, storage, etc. Own vendor relations and coordinate services for office Responsible for all purchasing. Maintain office supply inventory Event planning (on and off site) Administrative Assistance Greet all guests/customers/partners; coordinate meeting arrival and set-up Manage executive calendars, off-site meetings as requested Direct support to executive management team across the organization, in some instances coordination across geographical offices as need Assist with personnel related coordination tasks and documentation, as needed

Job Requirements

What we're looking for: Bachelor's Degree preferred Exceptional verbal and written communications skills are essential. Must effectively communicate with all levels of management, the team and third parties Ability to work independently, set priorities, and complete work timely and accurately Ability to apply critical thinking to tasks, creatively approach challenges and solve problems 3+ years of prior Office Management or Administrative experience IN THE ADVERTISING/PR/MARKETING SPACE required. Trustworthy and previous experience handling confidential information impeccably Proficient in Microsoft Office suite, Google Docs, etc. Concur Expense Report Management, Namely HRIS DocuSign experience a plus Comfortable working with various software, website, technical environments a plus Must be willing and able to safely lift 30 pounds Are you our next Office Manager?
