Job Description

Ultimate Staffing is in search of skilled Administrative Assistants to undertake a variety of day-to-day office and clerical tasks. You will be an integral part in ensuring the office operations run smoothly.
An excellent administrative assistant is, above all, an organized and competent professional with phenomenal communication skills. You will be comfortable dealing with people and able to carry out administrative duties with accuracy and speed.

Responsibilities:

- Follow office workflow procedures to ensure maximum efficiency
- Maintain files and records with effective filing systems
- Support other teams with various administrative tasks (redirecting calls, disseminating correspondence, scheduling meetings etc.)
- Greet and assist visitors when they arrive at the office
- Deal with customer complaints or issues
- Monitor office supplies inventory and place orders
- Assist in vendor relationship management

Requirements:

- Bachelor's degree is preferred but not required
- 3 + years of experience as an administrative assistant or office admin assistant
- Knowledge of office management systems and procedures
- Must possess excellent interpersonal skills and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors.
- Working knowledge of office equipment, like printers and fax machines
- Proficiency in MS Office (MS Excel, Word, and Outlook in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- Typing speed of at least 45 wpm.
