Job Description

Surgical Services Unit Clerk 
5:30 am-6:30 am Start Time 
8-9 hour days

Unit Clerk Role/Position Definition:
The Surgical Services Unit Clerk is responsible for assisting with surgical boarding needs, analyzing all required demographic, insurance, financial and clinical data elements necessary to register patients. They are responsible for promoting communication to the Surgical Services control area. They are responsible for the provision of routine patient access activity to facilitate efficient operations, expeditious reimbursement and optimal consumer satisfaction and to promote teamwork. They are responsible to further the mission of Oakland Regional Hospital, to consistently demonstrate the core values of Oakland Regional Hospital, and to perform their duties in accordance with regulatory compliance requirements and the Hospital's Code of Conduct.

Duties & Responsibilities:
  • Strong communication, time management, organization, and customer service skills are necessary.
  • Assumes any and all clerical duties and responsibilities as necessary.
  • Provides information to the patient's family in the waiting area according to facility policy.
  • Assists in ordering and stocking clerical supplies.
  • Assists in maintaining cost effectiveness by preventing waste of supplies.
  • Ability to work in a high volume environment.
  • Develop and maintain a good working rapport with interdepartmental personnel as well as other department areas within the facility.
  • Participates as a team member in support of the total perioperative process.
  • Verifies and updates necessary information (i.e. procedure, patient demographics) and records revisions in the electronic medical record.
  • Create and breakdown charts for surgical patients.
  • Creates patient information packets for surgical patients.
  • Assists in collecting all patient payments for deductibles and co-pays.
  • Reviews daily OR schedule to determine all OR changes have been completed for the day. Notifies surgical staff if changes have not been completed.
  • Orders physician lunches as requested.
  • Considers patient rights in performance of job duties and responsibilities.
  • Interacts appropriately with various age groups.
  • Accurately interprets age-specific patient responses to questions and instructions.
  • Considers age-specific patient requirements when responding to emergency situations.
  • Reviews forms for patient signature; obtains forms or signature(s) as required.
  • Monitors the reception and waiting areas.
  • Coordinates reception area activities for effective communication throughout the facility.
  • Answers telephone courteously.
  • Receives and relays messages effectively.
  • Understanding of medical terminology, HIPAA privacy laws.
  • Identifies procedural problems in the department and makes adjustments as necessary.
  • Maintains compliance with Oakland Regional Hospital's policies, procedures and accrediting bodies.
  • Communicates effectively with patients, visitors, physicians, and co‑workers.
  • Interactions are respectful and courteous.
  • Keeps the office neat and orderly.
  • Adheres to safety policies and procedures in performing job duties and responsibilities.
  • Safety problems are identified and corrective actions taken.
  • Reports observed or suspected violations, hazards, and noncompliance according to Facility policy.
  • Maintains and promotes professional competence through continuing education and other learning experiences.
  • Seeks new learning experiences by accepting challenging opportunities and responsibilities.
  • Objectively evaluates suggestions or criticisms and attempts to improve performance or seek further guidance, as needed.
  • Attends and actively participates in meetings, committees, in-services, workshops, seminars, and conferences according to job responsibilities and Facility requirements.
  • Performs all other duties as assigned.

Job Requirements


Qualifications/Position Requirements:


  • High School Diploma or G.E.D. required.
  • Office experience in a healthcare setting preferred.
  • Hospital experience strongly preferred. B. Licensure/Certification:
  • none

Knowledge, Skills and Abilities

  • Knowledge of healthcare computer information / EMR systems.
  • Knowledge of medical terminology.
  • Knowledge of human anatomy and physiology.
  • Strong communication and organizational skills.
  • Must possess excellent written/verbal communication and problem solving skills.
  • Must be able to follow directions, answer phones, and multi-task.
  • Proficient in computer usage (i.e. Windows-based operating system, Microsoft Office).
  • Proficiency in the use of general office equipment (i.e. copier, facsimile, telephones).
  • Ability to exercise professional judgment and critical thinking skills to solve problems.
