This position is responsible for the operations of the administrative functions for Kensington Place including billing, accounts payable, and basic human resource tasks. Oversees, manages and prioritizes the work of the receptionist position.
Essential Duties and Responsibilities:
Manages internal and external financial compliance, accuracy, timely processing and maintenance for the following areas: resident invoices, reconciles resident accounts, maintenance of security deposits, petty cash accounts, and coding and processing of all billing.
Creates and maintains all resident and administrative files in a neat and logical manner ensure files are updated in a timely manner. Maintains monthly census count.
Provides leadership, work direction and overall supervision of receptionist and transportation staff including participating in the selection, orienting, training, evaluating, disciplining, and at times terminating staff. Monitors the accuracy and completeness of timecard system for payroll on a bi-weekly basis. Makes edits to staff records as appropriate.
Provides administrative support to the Executive Director and staff including producing weekly newsletters, meeting minutes, letters, memos, activity calendars, and various reports. Performs all computerized record keeping including maintaining the marketing database, prepares marketing packets and other marketing correspondence.
Manages, monitors, and maintains all office equipment ensuring supplies are available and equipment is functioning properly. Notifies Information Technology or Maintenance if equipment is malfunctioning. Orders office supplies as necessary for staff.
Oversees all operational aspects of the facility vehicles, including vehicle inspections, registration and insurance, and policies and procedures.
Coordinates apartment turnover and readiness process with maintenance and marketing and assists with the move in arrangements for new residents.
Assists the Executive Director and marketing staff as necessary with the planning and execution of special events and marketing campaigns. Serves as back up for tours of the facility.
The ideal candidate will have an Associate’s Degree in Business Management or related field and 5 years progressive administrative experience. Bachelor’s degree preferred. Must have strong time management and organizational skills; Strong verbal and written communication skills with a strong focus on customer service; demonstrated ability to solve problems and make independent decisions.
