Job Description

The Project Coordinator performs technical and support functions for assigned projects.  This position works under the direction of senior leadership to perform tasks related to various functions of project delivery including contract administration, submission of project pay applications, resource scheduling, and communication with project consultants and internal project team. 
 
ESSENTIAL JOB FUNCTIONS
  • Performs complex project activities involving frequent exercise of independent judgement, initiative, and diplomacy.
  • Prepares and processes reserve project requests (RPR).
  • Processes contracts.
  • Processes pay applications.
  • Assists Senior Regional Director and others preparing of requests for proposals (RFP) for new projects.
  • Works with Project Analyst to open projects in Oracle.
  • Coordinates project or program implementation and rollout.
  • Research issues, prepares reports, and provides recommendations to Design Development Construction & Purchasing Senior Director.
  • Responsible for the initial review of furniture, fixture, and equipment (FF&E) specifications or similar documentations, then monitors tracking status and tacking of required submittals.
  • Keeps retention documents and records for all assets in the region up to date.
  • Covers project calls in the absence of the Senior Regional Director, Purchasing Construction & Admin (when traveling), then send updates as appropriate.
  • Works closely with Senior Regional Director and teams on variety of tasks.
  • Updates and distributes weekly project reports.
  • Processes and coordinates accounts payables.
  • Manages small non-complex capital improvement projects with oversight from Senior Regional Director.

Job Requirements

EDUCATION
  • Associate degree or equivalent experience in related field.
EXPERIENCE
  • A minimum two (2) years of experience in the construction, project management, procurement, architecture, or design field required.

LICENSE & CERTIFICATIONS

  • Driver’s Licenses (non-commercial) - must be state-specific. 
 
SKILLS & ABILITIES
Specific skills and abilities include, but are not limited to the following:
  • Computer proficiency in Microsoft Word, Excel, and Outlook.
  • Understand how to develop and implement business strategies.
  • Excellent customer service skills.
  • Proficient in time management; the ability to organize and manage multiple priorities.
  • Ability to take initiative and effectively adapt to changes.
  • Able to establish and maintain a cooperative working relation.
  • Ability to interpret and create spreadsheets.
  • Able to use sound judgment; work independently, with minimal supervision.
  • Strong analytical and problem solving skills.
  • Able to perform a variety of duties, often changing from one task to another of a different nature, with impending deadlines and/or established timeframes.
  • Competent in public speaking.
  • Performs well with frequent interruptions and/or distractions.
