Job Requirements

Requirements:

  • Bachelor’s Degree in Human Resources, Organizational Development, Business or a related field preferred
  • 2 plus years of experience in Human Resources or Payroll, preferably within a multi-family housing environment or field operations
  • Working knowledge of ADP or similar HRIS preferred
  • Excellent relationship building skills; able to collaborate with various levels of management 
  • Able to write, execute, validate and deliver reports based on requirements from end-users
  • Proven proficiency in Microsoft Office, including Excel, Outlook, PowerPoint and Word 
  • Must comply with all Federal and State guidelines regarding HR practices
  • Timely compliance with all state, federal, legal or regulatory requests and hearings
  • Must ensure accurate management and upkeep of the Payroll (ADP) and Talent Management platform (Halogen)
  • Adhere to service standards and turnaround time for employee communications and requests
  • Positive employee feedback on surveys and employee focus groups
  • Maintain high standards of confidentiality of all personnel records and information
  • Able to work independently or a as a member of a team to assist HR, employee and managers with special projects requiring the use of the HRIS systems 
  • Strong collaboration skills – works well across functional areas
  • Excellent relationship building skills; able to collaborate with various levels of the organization

Our Client is seeking a Human Resources Coordinator in Philadelphia, PA.


This is a full-time, temp-to-hire position. Work 40 hours per week, Monday through Friday from 8:00 AM to 5:00 PM.


Job Summary:


The Human Resources Coordinator (Payroll and HRIS) will be responsible for assisting with the administration of the day-to-day operations of the Human Resources Department including assisting and serving as a back-up for payroll administration. The Human Resources Coordinator carries out process, reporting and administrative duties that include services in time management, benefit data management, payroll processing and overall employee data integrity improving the employee experience to promote the Company culture and employee engagement.


Job Description:

  • Assist with bi-weekly payroll processing and adjustment through payroll system (ADP). This includes execution of payrolls in accordance with established policies, procedures, and Federal, State, and local regulations. Serves as the primary backup to Payroll Supervisor
  • Provide excellent customer service to employees across all functions of the Company as well as partners with internal departments and external parties to fulfill payroll responsibilities
  • Complete all wage inquiries from third parties (i.e. Unemployment, Disability, Legal). Handle all employment verification's via the Work Number
  • Perform day to day system administration and maintenance of all HR department’s systems. Serve as head administrator for the talent management platform (Halogen)
  • Create and maintain custom reports, evaluations and scorecards for internal requests; assist in the development of complex reports. Create and maintain annual compensation studies
  • Assist Talent Acquisition with offer letters, background clearances and testing
  • Prepare, distribute and track all new hire paperwork packets, I9 and W4, etc. Input into payroll (ADP) and the talent management platform (Halogen). Manage the I-9 verification and filing process in accordance with applicable laws
  • Conduct file audits to ensure compliance, including data system comparison; oversee maintenance and ongoing filing of information; ensure confidentiality, compliance and security of all personnel files
  • Ensure accuracy of all Personnel Action Forms and notify HR staff and/or departmental staff of incomplete or inaccurate forms and/or data
  • Process all aspects of the termination paperwork including updating HRIS software (ADP, Halogen) upon employee termination
  • Maintain employee records, training assignments/curricula in the talent management platform (Halogen) and generate exceptions reports. Assist site personnel with system technical issues. Update LMS with appropriate content, links, videos, etc. Maintain accuracy of the employee demographic and course curricula data
