Recruiter Assistant 

Location: City of Industry, CA 

Pay: $15.00-$17.00 ( DOE ) 

Hours:9:00 am -5:30 Mon- Fri 

The Recruiting assistant is primarily responsible for providing administrative support to the entire Recruiting team and to the Human Resources Department as a whole. This position will assist with the day-to-day operations in Recruiting and HR. This position will also provide coverage to the receptionist as needed. A high level of computer proficiency is required for this role. All candidates must complete an office skills assessment as part of the evaluation process.

Essential Functions:

  • Full cycle on boarding for all (5) affiliate companies and data entry into HRIS and ATS systems
  • Review and pre-screen resumes and identify qualified applicants.
  • Full cycle Temp. processing
  • Verification and payment of invoices from various vendors
  • Review and audit all on boarding paperwork for new hires
  • I-9 verification for on boarding
  • Schedule interviews and create calendar events for internal and external applicants for all affiliate companies
  • Conduct new hire orientation
  • Utilizing a variety of sourcing techniques to screen, identify, and select qualified candidates. Review resumes and forward to each hiring manager for evaluation
  • Source candidates via database, Internet, cold calling, networking, and other creative sourcing activity techniques to generate additional candidates.
  • Input, maintain and track all aspects of candidate activity in an applicant tracking system.
  • Post job descriptions to company website and other Internet job boards.
  • Assist with renewing job postings on internet job boards
  • Assist with coordinating outside agencies on various recruitment campaigns.
  • Assist with internal job campaigns.
  • Works cohesively and effectively with hiring managers on staffing needs.
  • Deploy candidate skill evaluation testings and motivational surveys.
  • Verify candidates' references as needed
  • Assist with extending job offers
  • Process pre-employment screenings and background checks
  • Audit pre-employment paperwork
  • Update preferred name and email address field in HRIS system for all new hires
  • Coordinate on boarding and conduct new hire orientations. Heavy data entry into HRIS and ATS systems.
  • Provide administrative support to the HR department.
  • Assist with special projects
  • Other duties may be assigned.

Other Duties:

  • Daily back up to the receptionist as needed.
  • Answer incoming telephone calls, determines purpose of callers and directs callers to the appropriate personnel.
  • Welcomes visitors by greeting them, in person or on the telephone and announces visitors to appropriate personnel.
  • Maintains security by following procedures; monitoring logbook; issuing visitor badges.
  • Maintains safe and clean reception area by complying with procedures, rules, and regulations.
  • Other duties as assigned.

Qualifications:

  • Bachelor’s Degree in Human Resources or related field.
  • 1+ years of general office work experience.
  • 1+ years of corporate recruiting experience required
  • Staffing agency experience preferred
  • High computer proficiency required (MS Office suite, including Outlook). The ideal candidate must pass several standard computer skills assessments and must score in the upper percentile of the candidate pool

  • Excellent interpersonal and customer service skills.
  • Ability to work in a team environment.
  • High sense of urgency and strong follow-through is essential.
  • Excellent computer skills, including Microsoft Word & Excel.
  • Able to multi-task without losing productivity.
  • Effective verbal and written communication skills. Must be able to communicate with all levels of management.
  • Able to exhibit a high level of confidentiality.
  • Strong organizational skills required.
