This position reports to the Sr. Associate Vice President for Advancement and is responsible for the administration and coordination of members of the development staff including project management, organization, communication and operations that assist the advancement team in meeting its goals. 

 

Acts as liaison and surrogate for SAVP on all donor-related requests coming from Advancement to the President’s office.

 

Prepares and proofs presidential briefings, materials, correspondence and other component pieces to ensure that they meet expected format and content and have clear measurable deliverables.

 

Maintains an Advancement presidential calendar, serving as a clearing house for all requests for President's time made by development officers.

 

Strategic coordination of the University President's time with top level donors.

 

Management and preparation of critical briefings with the President and his staff.

 

Ensures donor follow-up by development officers after respective presidential donor meetings.

 

Enters all presidential donor engagement activities into CRM to track presidential Advancement metrics.

 

Maintains a complex calendar for the Sr. Associate Vice President which includes preparation and research for meetings, donor visits, internal and external meetings and events.

 

Coordinates the organizational needs of the Sr. Associate Vice President including project management within tight deadlines and multiple priorities.

 

Oversees strategy and implementation for major gift meetings including documentation on fundraising metrics and preparation of presentations and speakers.

 

Assists in record-keeping on the development shared drives in compliance with UCF Foundation policies.

 

Plans and coordinates design and implementation for team planning retreats in collaboration with the Sr. AVP for Advancement.

 

Assists in record-keeping on the development shared drives in compliance with UCF Foundation policies.

 

Plans and coordinates design and implementation for team planning retreats in collaboration with the Sr. AVP for Advancement.

 

Assists with the development and execution of Executive Leadership Team retreats.

 

Coordinates budgets for all central advancement staff members, ensuring that expenditures are in line with departmental priorities.

 

Maintains up-to-date portfolio for Sr. Associate Vice President and assists with strategy in moving prospects through the donor continuum. 

 

Coordinates local and national travel arrangements for the Sr. Associate Vice President which involves adherence to the travel policies and procedures of the UCF Foundation.

 

Creates the agenda for monthly check-ins with Sr. AVP Advancement, Advancement CEO and Provost.

 

Drafts donor correspondence on behalf of University and Advancement leadership.

 

Interfaces with key donors and volunteers on behalf of UCF Advancement.

 

Collects and analyzes data from the CRM donor database as appropriate.

Minimum Qualifications:

Bachelor's or Master's degree and 4+ years of relevant experience.

Preferences:

Self-starter with excellent organizational skills and attention to detail. Proven communication skills, both verbal and written. Demonstrated ability to multitask and maintain accuracy. Computer experience and proficiency in Microsoft Word and Excel. Flexibility to adjust to pressing needs as they develop. Comfortable interfacing with VIPs.
