The work of the Office of Student Learning & Success encompasses the entire educational experience at Shoreline. Employees in this division provide leadership, coordination, and administrative services for all areas in the college related to instruction and student support. The office emphasizes clear communication about the student learning experience, program offerings, and assessment; as well as consistent implementation of policies and procedures relevant to students and faculty.


Under the direction of the Vice President for Student Learning (VP-SL), the Executive Assistant will act as the daily liaison for public, student, faculty, staff, and administrative contacts with the Office of Student Learning & Success.  The Executive Assistant will provide confidential administrative and secretarial support to VP-SL in the coordination of activities related to collective bargaining, legal, policy, and contractual requirements and administrative support to other area administrators as assigned.  As part of the Student Learning team, this position coordinates processes and procedures related to instruction, as well as provide training and supervision of the information desk functions of academic and student affairs.



-          Manage the daily operations of the Office of the Vice President for Student Learning including the coordination of processes related to instruction (such as Academic Review Committee reports, Articulation Agreements, etc.)

-          Ensure consistent documentation/communication of procedures including note-taking and facilitation for Dean Team

-          Prepare, revise, and maintain budgets reports; process reimbursement/travel requests and purchase requisitions

-          Modify and create spreadsheets using computerized databases, computer reports, etc.

-          Review, update, communicate and implement revisions to academic policies and procedural guidelines

-          Provide confidential administrative support and coordination for accreditation processes, tenure committees/files, collective bargaining activities, and other sensitive support activities

-          Assist division staff in preparing materials for the Board of Trustees and other College meetings as appropriate

-          Prepare correspondence, schedule meetings, perform calendaring and coordinate travel arrangements

-          Support assigned College committees taking meeting minutes distributing meeting minutes and maintaining archives

-          Supervise and assign tasks to the Program Assistant in the Office of Student Learning

-          Other duties as assigned of a similar level/nature


Job Requirements


  •          Bachelor’s degree from an accredited institution OR equivalent education/experience
  •           Four (4) years of progressively responsible experience in executive level office support, program coordination, or administrative work
  • Experience managing and/or supervising staff members


  •          Valid unrestricted Washington State driver’s license
  •          Clean driving record (maximum of one (1) moving violation in the last 12 months, no suspension/revocation of license for reckless driving, hit and run, leaving an accident scene, failure to appear, DUI, or other vehicle-related misdemeanor in the last 5 years)
  •          May serve as a Washington notary public


  • Office procedures such as filing, coordinating, and summarizing data, providing effective customer service, etc.
  • Microsoft Office applications such as Word, Excel, and Outlook programs 
  • Budgeting principles and practices, including maintenance and reconciliation of multiple funding sources
  •  Applicable laws, rules, ordinances, and regulations related to HIPPA, FERPA, etc.

  •  Establishing and maintaining effective working relationships at all organizational levels
  • Time management, multitasking, and coordinating work activities with multiple partners
