Incumbent in this position works closely with the Director of Human Resources in providing overall support and assistance to the agency and all agency personnel in all aspects of Human Resources.
Assists in the development and implementation of personnel policies and procedures; prepares and maintains the employee handbook and the policies and procedures manual updated at all times.
Handle department telephone inquiries, walk-ins and general communication for and with employees and with the public, at-large, in a professional and courteous manner.
Work as a team building and maintaining a positive and effective line of communication with others department leaders and co-workers at all times.
Participates in developing department goals, objectives and systems.
Create and maintain all personnel and medical files in a timely matter and in accordance with all standards related to agency compliance and others regulatory bodies.
Ensuring timely HR data entry for all employee related information into MIP and HR system.
Deliver and follow up with Finance HR related documentation, when needed.
Work in conjunction with the HR Manager in to have all payroll backup documentation ready a Friday before the scheduled pay date; this include but is not limited to collect the documents, do the input in the system, documents copies and ensure that documents are received in finance in a timely matter.
Ensure all forms and documents related to employee information received in a daily basis are filed properly maintaining a timely filing system.
Ensure file room is clean, organize and label it at all the times.
Responsible to create and maintain a tracker system for the required renewal personnel information to ensure timely renewals for each employee as apply (i.e. licenses, driver’s license, educational credentials, Medical form, CPR, etc...).
Responsible for maintain employees I-9 binders up dated, send letters and follow up with employees to ensure we are in compliance at all times. Reminders letters must be send in advance (90 and 30 days).
Create and maintain an employee ID data base system. Take pictures and distribute employee ID cards as needed.
Assist in the completion of employee requests for employment verifications, income request forms from banks for loans, mortgages, etc… in a timely matter, inform supervisor of any issues.
Support HR Manager with agency recruitment such as;:
Assist in the interview process by screening candidates.
Schedule assigned Interviews and Prepare Interview binders
Distribute pre-employment packages to qualified candidates.
Ensure successful completion of background screenings, employment and reference checks, drug screenings and medical clearances for all prospective employees.
Submit complete new hire package to the Director of HR for final review and approval.
Assist in completion of E-verify for new hires, as needed.
Work in conjunction with HR Manager in the New Hire Orientation.
Prepare and distribute the additional documentation for new hire staff such as, DCF files, credentials to Head Start programs, VPK copies, and any other as apply, in a timely manner.
Assist in maintain ADC employees required information/documents in the ADC share folder.
Coordinate and ensure new employees set up including but not limited to identification badge, parking decal, phone and voicemail setup, computer and e-mail access, office supplies, and office keys (when and as applicable).
Prepares and completes special projects and reports assigned by supervisor in a timely matter.
Create and distribute the HR News Letter or bulletin in a quarterly basis.
Responsible for distributing incoming and outgoing departmental mail, regular mail, faxes, etc.
Be aware of surroundings in order to provide clear and accurate information to all situations.
Order and maintain inventory of office and HR supplies.
Assist in audit/meetings/events preparations. Coordinate audio visual equipment for HR events when needed.
Cover reception area when necessary.
Ensure the safety of all staff, volunteers, visitors and individuals receiving services at Easter Seals.
Act in compliance with Medical and Non-Medical Emergency Procedures.
Assist individuals in evacuating building during emergency situations to include but not limited to: fire drills and external disaster drills. Specific duties to be assigned by immediate supervisor.
Assume assigned responsibility for non-clinical duties during disaster and/or drills including but not limited to safety of files/office areas, closure of doors.
Participate in continuous agency wide quality and performance improvement and comply with all Quality Improvement requirements.
Maintain an open and clear line of communication with supervisor, informing of any issues in the department or any issues or concerns that can affect your work performance or cause any delays in your task or assigned projects.
Maintains compliance with federal, state and local employment and benefits laws and regulations.
Other related duties assigned by supervisor.
Bachelor degree in Human Resources or related field; with a minimum of three year experience working in Human Resources.
Excellent written and verbal communication skills and computer and organizational skills.
Ability to work efficiently as an individual while working flexibly, cooperatively and positively in a team environment.
Self-starter with the ability to handle multiple projects simultaneously.
Must be Bilingual (Spanish & English).
Ability to work under pressure, maintain accuracy and meet deadlines.
