We are seeking two flexible, fast-learning and compassionate individuals to provide administrative and front desk support to one of the country’s most publicized tech companies of last year, nearly tripling in size. These are permanent, well-paying positions requiring full-time availability, 9:00 to 5:30; Monday through Friday - where you will perform a variety of advanced clerical and special projects for a group of talented coders.

  • Receptionist Pay Rate: $18.75 per hour (non-negotiable for 60 days)
  • Admin Administrative Assistant Pay Rate: $ 19.00 per hour

The admin will act as the first point of contact to the coding staff on any office needs in addition to:

  • Monitoring the IT teams performance to ensure they meet daily goals.
  • Resolving meeting conflicts and handle reschedules to accommodate more urgent, time sensitive requests.
  • Planning and facilitating large-scale meetings and conferences including creating and distributing informational material.
  • Managing calendars, responding to and send out meeting requests, and ensuring schedules are kept up-to-date and accurate.
  • The front office secretary will take over receptionist duties by routing all incoming phone calls to the appropriate individuals in addition to:
  • Validating and processing monthly parking log.
  • Opening, dating stamps, and delivering mail; Preparing outgoing mail.
    Responding to email, online, and voicemail appointment requests and inquiries.
  • Greeting and directing clients and visitors; assisting in data entry, processing file requests.

Aside from being deadline driven and extremely organized, here are some attributes we are looking for:

  • Bonus points if you’re someone who is tech savvy with a strong proficiency in and thorough knowledge of Outlook, CRMs, Project management tools, and Google drive.
  • Computer hardware and software knowledge to include expertise in MS Word, Excel, Access,
    Power Point and Outlook.
  • Superior organizational and administrative skills, with the ability to multitask and prioritize work, as demonstrated by previous office experience.
  • Ability to take ownership of the position through proactive initiative and resourcefulness.



Other administration tasks may include accounting (expense reports), marketing (proposal collateral, client events), mapping and research (client research). Administrative Support: Responsible for maintaining all physical/virtual document filing systems. Fielding telephone calls in a professional manner, receiving and directing visitors, and performing word processing in Microsoft Word, as well as faxing documents (and using multi-function devices). You may be asked to input and track proposals for new and existing clients (which will require some working knowledge of financial coding). The receptionist may be responsible for opening, sorting, prioritizing and distributing inbound mail. Coordinating services for outbound mail. Providing excellent customer service while answering phone calls and greeting visitors. Securing office daily by opening and closing entrances.
