Client Services Specialist

WealthValues has built its practice on a solid foundation providing personal financial planning and investment management services to high net worth individuals.  Our founding principal is a highly respected leader in her profession.   We serve a dynamic client base, many of whom who realized significant wealth at high growth and technology companies. As a trusted advisor, we provide individualized wealth management services on a fee only basis.

We are currently looking for an energetic and self-motivated individual to join our team as Client Service Specialist for our location in the 94025 area of Menlo Park, CA.

The Specialist will play a crucial role on our team by delivering high levels of service and contributing ideas. This individual will interact with clients verbally and in writing and performs back office functions providing responsive and high-quality results.  Areas of responsibility include processing requests, working closely with custodians and other team members, and portfolio administration support. 

This position reports directly to the Managing Principal.

Required:

·       B.A. or B.S. degree, with at least 3-5 years relevant experience, or equivalent work experience of at least 5 years

·       High level of interpersonal skills to handle sensitive and confidential situations. Interacts with clients, vendors and team members with professionalism and diplomacy.

·       Proficiency in Microsoft Office Suite.

·       Advanced computer skills in business office software, with CRM software experience highly desirable.

·       Superb verbal, written, and interpersonal communication skills

·       Proven clear thinker, well organized, solution oriented.

·       Self-starter, productive, works well with a team and independently.

·       Attention to detail and consistent delivery of accurate work product.

Responsibilities/Duties

The responsibilities of this role cover several functional areas:

1.  Client Service and Portfolio Administration

·       Interface with clients to answer questions, schedule meetings and to issue firm communications.

·       Assist Financial Planners with portfolio administration and trade processing, including preparation of reports.

·       Arrange and prepare documents for client meetings.

·       Prepare and send quarterly reports to clients.

·       Maintain client service database and records. 

2.  Firm Administration

·       Assist with the firm’s compliance with regulatory requirements, procedures

·       Achieve proficiency with the firm’s software applications and support technology initiatives.

·       Review, update and create processes & procedures to ensure continuous implementation of best practices

3.  Other Duties

·       Provide administrative support to Managing Principal.

·       Carry out special projects, firm initiatives and creation/implementation of improved systems for business operations.

·       Provide occasional office management support such as billing, vendor services, bookkeeping, equipment and supplies.
