Administrative Assistant

Perform Library circulation desk procedures, such as checking in and checking out materials, registering patrons, assisting in acquisition, processing the borrowing and lending Library materials through Inter-Library Loans (ILL), and accomplishing a variety of other administrative support services to assist reference technician and librarians.


Specific tasks include:

  • Digitize historic manuscripts and other rare and special collections materials.

  • Recommend materials appropriate for inventory, transcription, and digitization.

  • Perform research, as assigned, to aid in the interpretation and understanding of materials.

  • Scan and proofread digitized Library materials for Optical Character Recognition (OCR) accuracy.

  • Conduct inventories and create finding aids for rare and special collections materials.

  • Sleeve, folder, box historic materials for long-term storage in accordance with archival standards.

  • Read and transcribe historic manuscripts - to include handwritten materials.

  • Correct grammatical, typographical, compositional errors in the digitized copy to replicate the original.

  • Perform proofreading and/or transcription tasks, on site as required, to make materials web publication ready under the direction of an NHHC librarian.

  • Perform research, as assigned, to aid in the interpretation and understanding of materials.

  • Apply original captions and description to images, charts, maps, etc.

  • Provide input and recommendations for digitization Standard Operating Procedures.

  • Register and maintain borrower accounts; issue and renew library cards

  • Charge and discharge materials at circulation desks.

  • Deactivate material alarms during checkouts and reactivates upon check in.

  • Check patron bags upon exiting and respond to security alarms.

  • Inspect returned material for condition and reports damages.

  • Sort books, publications, and other items according to established procedure and return them to

  • shelves, files, or other designated storage areas.

  • Answer routine inquiries and refer patrons in need of professional assistance to librarians.

  • Locate library materials for patrons, including books, periodicals, etc.

  • Assist in ordering /processing new materials/supplies and assist with library displays as needed.

  • Assist technician with the operation of the Inter-library Loan (ILL) System.

  • Perform Library opening and closing procedures.


  • Possess a minimum of 2 years of experience providing administrative support.

  • Excellent organizational skills, attention to detail, and sound skills in written and oral communication is a must.

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, etc.)

  • Must be able to read and speak fluent English.

  • Must be a US Citizen.

  • Must be able to pass a Federal background check.
