Current Need

Reporting into the Admin Assistant Manager, the Administrative Assistant provides high level executive administrative and operational support to the Governance Counsel team within the General Counsel Organization with the ability to be a true partner and gatekeeper for the team.

Key Responsibilities May Include (but Are Not Limited To)

  • Responsible for heavy calendaring, scheduling cross-functional, multi-person and multi-time zone meetings and being the point person for scheduling availability
  • Organizes domestic and international travel arrangements
  • Prepares and processes expense reports, may review expense reports submitted to the department by direct reports team members
  • Coordinates activities between departments and outside parties
  • Contacts company personnel at all levels to gather information and prepare reports
  • Collects and prepares information for use in discussions/meetings of team and outside individuals
  • Prepares PowerPoint presentation materials
  • Makes high level contacts of a sensitive nature inside and outside the company
  • Manages special projects on behalf of the department
  • Handles details of a highly confidential and critical nature
  • Other duties as assigned

Qualifications

Education

  • High School Diploma or equivalent required; Bachelor’s highly desired

Minimum Requirements

  • Typically requires 3+ years providing high level administrative support to corporate teams

Critical Skills

  • 3+ years of experience providing administrative support
  • Experience supporting legal counsel within in law firm or corporate legal department highly desired
  • Experience supporting multiple leaders simultaneously with ability to multi-task and remain flexible
  • Advanced skills in MS Office Word, Outlook, Excel, PowerPoint, Access, SharePoint and Publisher
  • Experience coordinating complex travel, calendars, and events for multiple stakeholders
  • Demonstrated experience using automated office equipment
  • Proficient in written communications including clear and concise writing, editing for spelling and grammar, and an ability to interpret information and maintain detailed notes
  • Strong attention to detail

  • Exceptional verbal communication skills with demonstrated ability to speak clearly and eloquently, representing the office in a professional manner
  • Ability to anticipate activities and take proactive action with little or no direction
  • Must have strong time management skills and be dependable
  • Ability to work on multiple tasks with demanding or competing deadlines with minimal supervision
  • Exceptional interpersonal skills with a positive attitude and ability to work cohesively with other team members
  • Uses discretion and maintains high level of confidentiality
  • Ability to assess circumstances and problem solve with minimal supervision, exercising common sense and diplomacy
