Our client is looking for a Payroll Specialist in their Reno office. Full-time, great benefits!
This multi-state operation supports over 70 marine and shipping companies which contribute to more than 10% of the U.S. GDP. Under the general direction of the Payroll Supervisor, the position is responsible for assisting in the oversight of all functions necessary to accomplish the weekly payroll processing objectives, including tax reporting, voluntary deductions reports, processing involuntary deductions and relationships with external customers and state and federal agencies.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Analyze, prepare and direct the input of payroll data for clients and member companies Typically uses automated system to produce accurate and timely payroll.
Ensure compliance with all applicable state and federal wage and hour laws.
Update data into the Oracle system including tax deductions, direct deposit, personnel information and work experience changes.
Contact and assist clients and employees with the weekly payroll process.
Obtain information for clients and employees’ payroll production.
Audit and verify clients and employees’ payroll totals.
Coordinate weekly payroll processing and balancing of various payrolls for clients.
Prepare weekly, monthly, quarterly and year end payroll reports and process and balance Quarter and year-end deliverables for various clients.
Perform and act as secondary sign off for billing and account receivables for employees and clients.
Provide first responder support for the Call Center while completing other assigned duties.
Provide support for any other day-to-day payroll tasks and special projects or requests.
Respond to customer inquires; provide quality customer service.
Works in and operating high-volume mail equipment on a weekly basis.
Leadership ability with the ability to generate positive relationships with peers.
Other duties as assigned.

Demonstrate effective verbal, written, listening and telephone communication skills, with demonstrated ability to speak English fluently, read and comprehend instructions, write short correspondence in a clear and concise manner and present information in one-on-one and small group situations to customers, clients and employees of the organization.
Strong mathematical and analytical skills.
Proficiency in PC software tools for analysis, audits, and reports, e.g. Microsoft Office.
General experience and understanding of payroll systems.
Demonstrated aptitude for learning new systems and programs.
Strong knowledge of current applicable state and federal wage and hour laws.
Proven problem analysis and resolution with attention to detail.
Demonstrated capabilities to multi-task, appropriately determine and follow through on priorities, while organizing the workload to meet stringent deadlines.
Demonstrated skill in establishing and maintaining positive working relationships with internal and external stakeholders, and in negotiating to reach mutual goals.
Proven experience and ability to handle sensitive and confidential situations with diplomacy, resolving problems in a timely manner using sound judgment and discretion.
EDUCATION and EXPERIENCE
Bachelor’s Degree in business administration or Accounting preferred, but not required.
Two or more years of payroll processing experience in a high-volume computerized payroll environment (ORACLE preferred.)
Experienced payroll professional; union payroll and multi-state location experience desired.
