Job Description

Come be a part of the Elks quiet network of good deeds! The Benevolent and Protective Order of Elks of the USA has an immediate opening for an Order Entry/Shipping & Receiving Clerk in our Shipping Department.

Responsibilities include:


Customer Service/Purchasing:

  • Prepares, reviews, and tracks purchase orders through the purchasing process.

  • Inputs all changes into the purchasing system, including inventory purchase orders, price changes, and system updates.

  • Prepares and files all purchasing related documentation.

  • Responds to customer orders by phone, mail, email, and fax

  • Resolve problems to ensure customer satisfaction and adherence to the organization’s policies

  • Maintains and prepares reports regarding calls received, orders taken and products shipped.

  • Determines appropriate delivery method based on type of product and customer’s needs.

Shipping and Receiving: Ship goods from the establishment; prepare records of goods shipped; make up bills of lading; post weight and shipping charges; keep files of shipping records; receive incoming shipments of merchandise or other materials; verify correctness of shipments against bills of lading, invoices, etc.; keep records of goods received; report damaged goods and shortages; route goods to the proper departments.


Shipping: Apply proper packaging and marking methods as prescribed or determined to prepare, protect and identify items during handling and shipment.

  • Review procedures and apply the instructions along with practical knowledge of materials and equipment to properly prepare items for shipment.

  • Review Shipping documentation for packaging instructions to properly label and complete orders for shipment                                                           

  • Maintain accurate and timely shipment of products or materials to their destinations.   

  • Inventory shipping supplies daily and order as needed         

  • Use of company business systems to determine the status/disposition of product.

  • Assist customers with packaging and processing of shipments

  • Ship orders using Computer Manifest System.

  • Assist in loading trucks



  • Pack orders from picking list.

  • Collate, insert, and seal mail pieces.

  • Read production or shipping documents. 

  • Place finished products in containers (cases) for shipping or storage. 


To account for and ensure timely distribution of incoming material.

  • Acknowledge, verify and record the accuracy, quantity and condition of material received.

  • Examination and verification of all items for damage and accuracy of item type and quantity.

  • Proper and timely distribution of items of internal locations.

  • Review of system data to determine proper disposition/status of material.

  • Assist in unloading trucks



  • Responsible for proper storage of material and filing of documentation

  • Picking of product from inventory and related paperwork                                                                      

  • Stock shelves, take inventory periodically, and report low stock to supervisor.

Driver  Operate Elks’ company van to transport people, mail or other materials.

  • Pick up incoming mail from local post office and drops off outgoing mail at specified times.

  • Delivers parcels, transports equipment, presentation materials, and/or people to and from meeting sites.

Customer Service

  • Take, retrieve and process orders from customers via telephone, fax, internet and intranet.

  • Respond to customer inquiries regarding orders, damaged merchandise, missing items, shipments, shipping lines, delivery dates, shipping quotes, billing quotes and supply shipping documents when requested.

  • Ability to handle urgent requests  

  • Ability to meet customer needs and meet required deadlines while meeting a high expectation for quality. 

Job Requirements

  • Qualified candidates must have a minimum of one year of experience or a Bachelor’s degree. 
  • Prior shipping and receiving, customer service, purchasing, mail room experience required.

  • Must have knowledge of office administrative procedures, as well as knowledge of use and operation of standard office equipment and standard mail room equipment.

  • Must have knowledge of a variety of computer software applications in word processing, spreadsheets, databases.

  • Must have excellent spelling and grammar; good phone skills; be organized; be able to set priorities and meet deadlines; be able to multi-task and carefully proof own work.

  • Position continually requires demonstrated poise, tact and diplomacy.

  • Some analytical ability is required to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work.

  • Work requires attention to detail in composing, typing and proofing materials, establishing priorities, and meeting deadlines.

  • Must be able to work individually as well as participate on teams.

  • Must be able to consistently demonstrate ability to take the initiative to make decisions/choices without direct supervision.

  • Position will require (overnight) travel to the annual convention. 

  • Must be able to work overtime as needed.

  • Must consistently demonstrate ability to respond to changing situations in a flexible manner to meet current needs, such as reprioritizing work as necessary.

  • Minimize non-productive time and fill slow periods with activities that will enable you to prepare to meet the future needs of the Organization (education, organizing, housekeeping, assisting others).

  • Organize job functions and work area to be able to effectively complete varied assignments within established time frames.

  • Ability to drive; must have a valid driver’s license

  • Position required the ability to be mobile, standing, walking, bending, twisting, climbing stairs, reaching overhead, pushing/pulling, etc.

  • Must be able to lift and carry a minimum of 25 pounds.

Compensation is based on experience.

Company Paid Benefits Include:  Medical premiums (BCBS PPO for employees), Life and AD&D at 1x base pay, Short-Term Disability (1st 4 weeks are covered at 100%), Long-Term Disability, Employee Assistance Plan, Vacation (10 days), Holidays (10 days), Sick Time (8 Days) 401(k) (with 3% Safe Harbor and 2% Company match).  

We are a small nonprofit office.  The atmosphere is more like a family run business than a corporation.  You are more than a number.  Employees work a 37.5-hour work week in a casual environment.  Our employees love the work-life balance aspect.  Typical work day is from 8:30am-4:30pm M-F, but there is some flexibility in starting/ending times. Our office is very accessible by public transit (CTA Brown Line and various bus lines.)  We also offer free onsite parking.   

The Elks Campus is on the boarder of the Lincoln Park and Lakeview neighborhoods. It is within walking distance to various restaurants and local hot spots; there is something for everyone.  We have Trader Joes, Veggie Grill, Nando’s, Duffy’s, Chipotle, Potbelly, North Pond, Lincoln Park Zoo, The Peggy Notebaert Nature Museum, Loft, Akira, Urban Outfitters, Target, Walmart, TJ Maxx, Bed Bath & Beyond, etc.  We are located 3 blocks from the lake and the bike path and near many parks to picnic in, walk through and relax in.
